Job Overview
The Payroll Accounting Coordinator supports the accounting and payroll department by performing various clerical tasks, ensuring accuracy and efficiency in financial record-keeping, payroll processing and reporting. Assist in accounts payable and receivable functions, reconcile bank statements, and contribute to month-end close procedures, helping to maintain the financial health and integrity of the organization.
Essential Functions
1. Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
2. Prepares and processes bank funding file.
3. Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
4. Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
5. Creates reports regarding the current status of customer accounts as requested.
6. Research customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff.
7. Process bi-weekly or weekly payroll for employees accurately and on time using the payroll software provided.
8. Ensure time reports entered accurate and approved by managers. Verify and enter hours to be paid to employees.
9. Prepare and distribute Payroll reports to management.
Job Requirements/Skills
1. Excellent verbal and written communication skills.
2. Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
3. Ability to operate related office equipment, such as laptop, docking station, scanner/copier.
4. Ability to work independently and in a fast-paced environment.
5. Ability to anticipate work needs and interact professionally with customers and co-workers.
6. Excellent organizational skills and strong attention to detail.
7. Strong analytical and problem solving abilities.
Education/Experience
1. Associate’s or Bachelor’s degree in Business or Accounting preferred.
2. At least two years of related experience required.
3. Proven verbal and written communication.
4. Excellent computer skills in MS Word, Excel, data entry, etc.
