Responsibilities:
Assist with New Hire Orientation scheduling
Compile/Maintain new accurate personnel files, keeping all information current for both active and terminated files. (hard and electronic versions)
Process background checks for job applicants and prospective new hires.
Schedule pre-employment drug screenings and physicals as needed.
Create interview schedules for job candidates; Act as a liaison between job candidates and the Human Resources recruiter by providing all job candidates with their interview itineraries, job description, and any other information necessary.
Maintain Outlook calendar for varies events/appointments o Interview schedules o Monthly meeting schedules
Prepare HR Monthly Updates for Monthly Meetings (PowerPoint) o Employee of the Month o Birthdays/Anniversaries
Monthly Birthday cards-include management signatures and distribution on actual employee birthday
Assist with transition of Monthly meetings, documents as needed o Private/confidential supervisor meetings-as needed
Facilitate the new hire process by scheduling new hire orientation meetings.
Contact employment agencies to discuss the company's employment opportunities. o Agency open orders/cancellations o Process agency timecards o Hire/Term agency temps o Maintain agency water bottles stocked with policy forms in file
Review and revise documents as needed.
Complete forms for payroll (new hire/certification/pay change PAN forms)
Support HR with company events and parties
Complete various projects and support personnel as requested o Tax information changes, forms, UKG app assistance, etc. Office Admin. Duties:
Answer telephone and transfer calls to appropriate person/department.
Greet all visitors, contractors, and job applicants, and direct to appropriate employee or department.
Maintain visitors log, ensure that all visitors sign in, and ensure that all visitors or contractors comply with the policy governing plant visitation.
Responsible for keeping copiers and printers in front office in working condition; facilitate any maintenance requests for copiers.
Ensure that office supplies are in stock; handle ordering process for all supplies as needed, and store office supplies in their appropriate areas.
Maintain Employee Mail Slots o Sort and distribute mail accordingly.
Book conference rooms through Outlook as needed. o Maintaining the evacuation list
Maintaining phone list for office
Handle all luncheon and meeting requests for management.
Assist Accounts Payable by o Receiving / processing HR temporary staffing agency invoices to initiate payment
Assist with projects as needed. Required Knowledge, Skills, and Abilities:
2-3 years prior experience as HR Assistant, working within a highly confidential role handling confidential matters o Preferably in a manufacturing environment.
Bilingual English and Spanish a must o Preferably (not required) an ability to write and read Spanish as well
Demonstrate the ability to handle sensitive and confidential information with professionalism and discretion.
Proficiency in Office XP (Word, Excel, Outlook and PowerPoint)
Excellent verbal, written, analytical and interpersonal skills.
Highly organized with the ability to multitask and prioritize as needed.
Requires an ability to work effectively under pressure and adjust to changing situations
