Position: Office Administrator
Location: Inverness Business Park, Englewood, Colorado
Job Description: We are seeking a highly organized and detail-oriented individual to join our team as an Office Administrator. In this role, you will be responsible for ensuring the smooth operation of our office by providing efficient administrative support. You will handle a variety of tasks, including document scanning, file management, and general office assistance. The Office Administrator will play a crucial role in maintaining accurate and organized records, contributing to the overall efficiency and productivity of the company. Ideal candidate is highly self-motivated, with an interest in learning about the fire protection industry. CES will provide free training courses after a 90-day trial period.
Responsibilities:
- Accurately scan and digitize documents using office equipment and digital software.
- Organize and maintain physical and electronic files, ensuring easy retrieval and accessibility.
- Create and update files, records, and databases as necessary.
- Sort and scan checks to the Accounts Recievable daily.
- Assist with maintaining and renewing current licenses for the business and technicians with state and local authorities.
- Assist with scheduling appointments, meetings, and travel arrangements.
- Handle incoming phone calls, direct calls to the appropriate personnel, and take messages when necessary.
- Assist with basic accounting tasks, such as invoicing support and processing payments over the phone by credit card.
- Support the HR department in maintaining employee records and handling administrative tasks related to employee onboarding and offboarding.
- Send out W-9s / Certificates of Insurance to vendors
- Complete vendor credentialing
- Send out past-due invoice reminders from a template
- Send out monthly, quarterly, and annual reoccurring invoices
- Check our central monitoring station website daily for trouble signals and send service requests out to customers through a template
- Participate in weekly meetings or assigned meetings
Qualifications:
- High school diploma or equivalent;
- Proficient in using office equipment such as scanners, copiers, and fax machines.
- Strong computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and file management software.
- Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
- Professional and friendly demeanor with exceptional customer service skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Self-motivated and able to work independently as well as in a team environment.
Job Type: Full-time
Pay: $24.00 - $27.00 per hour
