JOB SUMMARY:
The Executive Assistant is a qualified full-time employee appointed by Agency Ownership who coordinates all administrative, HR and financial activities of the agency. They provide and coordinate hiring, screening, scheduling, invoicing, payroll, bill payments, dispute resolution etc.
QUALIFICATIONS: a. Shall have two years of professional work experience and necessary training with least one (1) year of supervisory experience. b. Associate’s degree is preferred but equivalent work experience may suffice. c. Must meet initial and ongoing educational requirements as stipulated by local, state and federal guidelines. d. Must be proficient in Microsoft Office: Excel, Word and Power Point. e. Must have experience in QuickBooks Online. f. ADP RUN payroll experience is preferred.
RESPONIBILITIES: a. Retrieve mail, sort, separate for payment, scan and mail. b. Call applicants about job openings and process resumes. c. Deliver/send, collect and process New Hire paperwork. d. Schedule Drug screenings and collect results e. Schedule TB screenings and collect results f. Perform Background and E-Verify checks and save results. g. Collect digital photo and process employee ID. h. Process State Unemployment Insurance (SUI) document. i. Ensuring that all personnel files are maintained/organized according to state and agency procedures. j. Oversee the verification of submitted hours worked against branch records. Notify the appropriate personnel of discrepancies k. Process payroll in ADP. l. Assures agency follows applicable employment and wage and hour law m. Process employee withholding orders. n. Verify that all billing is done in a timely manner working with AXXESS. o. Work to resolve billing discrepancies with AXXESS. p. Monitor supplies and resources q. Provide a weekly report and other information to ownership as needed. r. Other duties as assigned.
EDUCATION: a. Associate’s degree is preferred but equivalent work experience may suffice.
COMPANY INFORMATION: a. Has access to all personnel records, which can be discussed with all management staff, including the
Board of Directors as well as outside government agencies.
PHYSICAL REQUIREMENTS: a. Prolonged periods of sitting at a desk and working on a computer. b. Must be able to lift 15 pounds at times.
