Position Overview
We are seeking a detail-oriented and organized Administrative Assistant Intern to join our summer team. This role is vital to the successful operation of our programs, managing participant registration, documentation, financial records, and serving as the first point of contact for program inquiries. This position offers valuable hands-on experience in nonprofit administration, database management, and customer service.
Key Responsibilities
- Process participant registrations and maintain accurate records in our database system
- Manage all program paperwork, including consent forms, medical information, and attendance tracking
- Handle payment processing, financial record-keeping, and account management
- Serve as the primary contact for phone and email inquiries from participants, families, and community partners
- Produce regular registration reports and participant data for program directors
- Coordinate communication between staff, participants, and families
- Assist with program logistics and administrative support as needed
- Maintain organized digital and physical filing systems
- Support the preparation of program materials and resources
Qualifications
- Strong organizational skills and meticulous attention to detail
- Experience working with both youth and elderly populations
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Ability to learn new database and registration systems quickly
- Professional demeanor and strong customer service orientation
- Ability to handle confidential information with discretion
- Must be able to pass a comprehensive background check
- Must consent to random drug testing as per foundation policy
- Reliable transportation to our Cincinnati locations
