The Opportunity

Are you an organized, proactive, and polished professional who thrives in a dynamic environment? We're looking for a talented Executive Support Specialist to provide high-level administrative assistance to a small group of senior leaders within a fast-paced and collaborative organization. Key Responsibilities

  • Manage complex calendars and scheduling needs for 3–4 senior executives, partnering closely with other administrative team members.
  • Act as a key liaison—professionally handling internal and external requests on behalf of leadership.
  • Increase team efficiency by preparing meeting materials and ensuring leaders are set up for success in advance of key discussions.
  • Plan and coordinate meetings, offsite events, and logistics with attention to detail and care.
  • Process expenses, reconcile reports, and ensure compliance with organizational policies.
  • Support purchasing processes, memberships, subscriptions, and other admin functions.
  • Arrange travel, accommodations, and related reimbursements.
  • Prepare compelling PowerPoint presentations aligned with business objectives.
  • Respond promptly to emails and calls, delivering exceptional internal and external service.
  • Maintain organized records and documentation for easy access and compliance.
  • Step in to support other departments as needed and assist in team-wide initiatives.
  • Help onboard new hires and contractors with warmth and precision.

What You Bring

  • At least 5 years of experience in a customer service or client-facing role.
  • 3 years in a senior administrative or executive support position.
  • A talent for absorbing large volumes of information, spotting key themes, and connecting the dots.
  • The ability to filter and summarize information for executive-level decision-making.
  • Excellent time management and prioritization skills, with a sharp eye for details.
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Teams.
  • Strong written and verbal communication skills with a confident, professional demeanor.
  • A high level of discretion and a commitment to handling sensitive information responsibly.
  • A proactive mindset, problem-solving abilities, and sound judgment.
  • A team-oriented attitude combined with the confidence to work independently.
  • Eagerness to learn and a flexible approach to evolving responsibilities.
