Notes from Call:
- Experience: Must have significant experience with SmartAdvocate. The role requires critical thinking within the system, as it s not easy to teach. The candidate will be part of the operations team, reporting directly to the COO and other resource. The role will be autonomous, and the candidate is expected to take initiative, owning the work and driving projects forward(SOLE PERSON TEAM).This position will involve a lot of responsibility with minimal supervision, and the candidate must be comfortable handling complex tasks and interacting with multiple teams across the organization.
- Project: The main project will be to clean up legacy data from 2015. The candidate will need to hit the ground running and handle the challenge of organizing and addressing this backlog.
- Skills Needed:
- Project Management: Ability to plan and map out projects, collaborating with other departments.
- Collaboration: Strong ability to work with diverse teams, including department leaders in workers' comp, personal injury support, supervisors, attorneys, and vendors.
- IT Collaboration: The role will involve collaborating closely with IT third-party team, vendors for system integrations and communications.
- Communication: Strong interpersonal skills are required to navigate working with a team with strong personalities. The candidate should be confident enough to push back when necessary but also know when to be patient.

Other Notes:
- Administration: While it s not essential for the candidate to have experience with the administrative side, any experience with training modules would be a plus.
- The COO and Nataly are the primary system users, and this role will support them with day-to-day operations and project management.
We are looking for a Systems Coordinator that must gave experience with SmartAdvocate, our case management software, to join our company.
Responsibilities:
1. System Maintenance and Management
- Monitor, maintain, and optimize the Smart Advocate platform for optimal performance across departments.
- Configure and update system settings to meet organizational needs and user requirements.
- Ensure regular system backups and implement disaster recovery procedures to protect data.
- Create and maintain documentation for system configurations, customizations, and workflows.
- Oversee vendor relationships, manage service agreements, and evaluate vendor performance.
- Coordinate contract renewals and escalate issues with vendors as needed.
2. User Support and Training
- Provide technical support to users encountering issues with SmartAdvocate.
- Develop and deliver training to new and existing staff on SmartAdvocate features.
- Create and maintain training materials, including manuals and video tutorials.
3. System Upgrades and New Features
- Collaborate with IT and third-party vendors to plan and implement system upgrades and new feature rollouts.
- Participate in the integration of new modules and functionalities as the platform evolves.
- Test and troubleshoot updates to ensure compatibility with existing workflows.
4. Account Management and Security
- Manage user accounts, roles, and permissions to ensure appropriate access control.
- Monitor compliance with privacy laws (e.g., HIPAA, GDPR) within the system.
- Respond to user access requests, troubleshoot issues, and address security vulnerabilities.
5. Collaboration and Feedback
- Serve as the liaison between Smart Advocate users, the IT department, and vendors.
- Collect user feedback on system performance and functionality, recommending improvements.
- Collaborate with management to identify new features or integrations for system enhancements.

- Smart Advocate admin experience (account creations, workplan builds, automated procedure upkeep, etc.) required.
