Wanted: Fun-Loving, High-Energy Full-Time Operations Assistant (Hiring Immediately)

We are looking for a full-time operations assistant to join our team of high-performance marketers to help with hiring and onboarding new team members, managing the relationship with an outsourced IT company, and reviewing systems and processes within the operations team to find areas for improvement. In this role you’ll be working directly with the Chief Operating Office and the operations team. This position is an in-office position.

This Person Must Have:

  • Extreme attention to detail and be highly organized. There are many things happening at our company simultaneously that often involve multiple projects being worked on at once. Therefore, the person we hire must be able manage their time and a number of detailed projects successfully.
  • Good verbal and written communication skills, and must enjoy working as part of a team in a growing business.
  • Computer savvy and be comfortable using Microsoft O365 and learning new applications.
  • HR experience is a plus

Key Results:

  • Help support company in hiring process to include serving a key contact for new employee onboarding and basic company training. Help provide basic HR support functions for company.
  • Serve as IT liaison for organization. Provide go-between services between organization and outsourced IT support. This will include gaining a basic knowledge of how organization’s IT is structured.
  • Helping to manage the order and billing processes to include reviewing orders that are processed via salespersons, processing billing changes to subscriptions, and answering billing questions.

Responsibilities and Tasks:

  • Work with COO when new employees are hired to gather background information, schedule drug tests, confirm all pre-employment paperwork is completed, and prepare for employees first day.
  • Meet with new employee on their first day to make sure they can get logged into key systems, have access to new employee training and have a clear understanding of activities they should be completing on day one.
  • Help in providing ongoing HR services to company as needed at the direction of the COO.
  • Act as the company liaison with outsourced IT Company.
  • Gain a high-level understanding of company’s IT infrastructure through relationship management and attending meetings with COO and IT Company.
  • Work with IT Company to order new computers for new employees or replacement of existing computers.
  • Keeping track of IT equipment provided to employees.
  • Check and correct orders as they are coming in ensuring that all products that should be included have been and all subscriptions have been set up correctly.
  • Make payment adjustments of existing orders and subscriptions as directed by team leads.
  • Update Credit Card Information as needed.
  • Change billing contact Info - create contact for "accounts payable".
  • Process al a carte and or DFY orders for clients.
  • Creating Monthly Sales Audit reports for Kathy and Sandra to review and work through for payments that are still outstanding.
  • Help with answering the phone in a friendly manner, helping the caller with questions, and directing calls to appropriate employees.
  • Additional job duties may be assigned.

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
