Job Title : Front Desk Coordinator
Supervisor : Community Programs Manager
Status : Full-Time (35 hours / week), Non-exempt
Qualifications
Desire to work with disenfranchised populations while supporting TEEGs mission
Associate degree in human services or related field or 3 years of similar work experience
Proficiency in Microsoft Office software
Strong written, oral, organizational, and conflict-resolution skills
Ability to work independently and collaboratively with flexible hours and duties
General knowledge of local and regional services and supports
Clean record with State Police Bureau of Identification, Department of Children and Families and Department of Motor Vehicles
Possesses a valid drivers license, reliable transportation, and proof of registration and motor vehicle insurance
Respect for persons without regard to age, race, color, national origin, ancestry, religion, sex, pregnancy, transgender status, gender identity or expression, sexual orientation, disability, genetic information, marital / civil union status, veteran status, uniformed servicemember status or socioeconomic status
Physical / Mental Requirements & Working Conditions
Frequent stationary work in an office setting to include keyboarding and / or handwriting
Daily working hours may vary to meet client and agency needs, including occasional early morning, evening, and weekend requirements
Frequent one-on-one interactions with clients who may exhibit an emotionally heightened or withdrawn state and / or with behavioral diagnoses that may require de-escalation, crisis prevention or intervention
Frequent in person, virtual and / or telephonic oral communication and listening
Ability to lift and / or move objects up to 30 pounds
Responsibilities
Pick up agency mail from Post Office daily, sort, and distribute to staff
Collect and drop off agency mail at Post Office daily
Work as a key employee as part of the Community Program Team
Answer agency telephone and connect callers with appropriate staff members; Accurately complete telephone logs, distribute and save as required
Monitor agency voicemail and distribute messages to appropriate staff members in a timely manner
Monitor shared room reservation calendars and prepare Conference and Community Rooms appropriately for reservations
Serve as triage point for all clients, guests, and volunteers entering agency; Ensure client forms are completed correctly and submitted with required backup documentation
Call program registrants and confirm attendance at appointments / events
Maintain inventory of and restock supplies in restrooms, Community Room, Conference Room, kitchen, and reception area; Provide supply order requests to Associate Director as needed
Maintain clean and organized reception area and personal workspace available for use by covering staff members
Perform data entry, scanning, filing, shredding and clerical work as assigned by Supervisor or Executive Director
Copy and fax paperwork for clients as appropriate
Perform monthly inspection of agency fire extinguishers, emergency lights and AED, report any issues to Associate Director
Any other duties as assigned by Supervisor or Executive Director
