Job Description:
Key Responsibilities:
- Inventory Management: Maintain accurate inventory records, tracking raw materials, work-in-progress, and finished goods to identify potential shortages and facilitate timely reordering.
Purchase Order Processing:
- Generate purchase orders for raw materials and supplies, ensuring timely delivery and price accuracy.
Documentation and Reporting:
- Prepare and distribute production reports, including daily production summaries, quality control reports, and shift change logs.
Compliance Management:
- Assist in maintaining compliance with safety regulations, quality standards, and manufacturing procedures.
Data Entry and Analysis:
- Input production data into ERP systems, analyse trends, and generate reports to identify areas for improvement.
Communication and Coordination:
- Coordinate with other departments such as quality control, and maintenance to ensure smooth production flow.
Meeting Support:
- Schedule and organize meetings, prepare agendas, and take minutes for the manufacturing team.
Administrative Tasks:
- Handle general administrative duties such as filing, copying, and maintaining / updating documents
Required Skills and Qualifications:
- Proficient in Microsoft Office Suite: Strong skills in Excel, Word, and PowerPoint for data analysis, report generation, and document creation.
ERP System Knowledge:
- Familiarity with Enterprise Resource Planning (ERP) systems to manage inventory, production orders, and other manufacturing data.
Attention to Detail:
- Ability to maintain accuracy in data entry and recordkeeping, ensuring compliance with manufacturing procedures.
Organizational Skills:
- Efficiently manage multiple tasks and prioritize work to meet deadlines.
Communication Skills:
- Excellent verbal and written communication to effectively collaborate with manufacturing team members and other departments.
Education and Experience:
- High school diploma or equivalent
- Associate's degree in business administration or related field preferred
- 1-3 years of administrative experience in a manufacturing environment
