Responsibilities
- Manage the executive's calendar, scheduling appointments and meetings using Outlook Calendar.
- Provide front desk support, greeting visitors and handling inquiries with professionalism and courtesy.
- Maintain organized filing systems for documents, ensuring easy access to important information.
- Assist with proofreading documents to ensure accuracy and clarity before distribution.
- Handle phone communications with excellent phone etiquette, managing incoming calls and messages efficiently.
- Utilize various phone systems to facilitate communication within the office.
- Support office management tasks, including ordering supplies and maintaining a clean working environment.
- Provide executive administrative support by preparing reports, presentations, and other necessary documentation.
- Travel Planning and Logistics
- Monitor and manage budgets, track expenses, prepare basic financial reports
- Help with billing, payment and bank reconcilliations
Skills
- Strong customer service orientation with the ability to interact positively with clients and team members.
- Background in Finance, Accounting & Bookkeeping
- Proficient in Excel, Quickbooks, Budgeting Tools and Financial Software
- Proficient in file management techniques for efficient organization of documents.
- Excellent proofreading skills with keen attention to detail.
- Experience in front desk operations and managing visitor interactions.
- Proficient in using Outlook Calendar for scheduling and time management.
- High level of computer literacy, including familiarity with office software applications.
- Strong office management skills with the ability to maintain an organized workspace.
- Experience providing executive administrative support in a professional setting is preferred.
- Exceptional phone etiquette and familiarity with various phone systems.
