Responsibilities:
- Answer customer calls promptly and address service requests with professionalism and courtesy.
- Schedule and assign service calls and preventive maintenance visits to field technicians.
- Approve timesheets and manage daily technician schedules.
- Maintain and update service department spreadsheets with relevant data.
- Review the dispatch board to monitor technician availability and job status.
- Follow up on open work orders and ensure timely completion.
- Coordinate parts orders and service appointments between technicians and customers.
- Create purchase orders as needed and maintain records for inventory and order tracking.
- Review incoming service requests and assign appropriate technicians based on expertise and availability.
- Provide regular follow-ups with customers to ensure satisfaction and keep them informed of service updates.
Requirements:
- Strong communication and interpersonal skills, both verbal and written.
- Ability to manage and prioritize multiple tasks in a fast-paced environment.
- Proficiency in MS Office (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Ability to work independently with minimal supervision and as part of a collaborative team.
Qualifications:
- High school diploma or equivalent (required)
- Experience in an HVAC, refrigeration, or service-related environment is preferred but not required.
- Familiarity with service scheduling software and dispatching tools is a plus.
