TITLE: Manager – Systems, Data and Customer Experience


Minimum Qualifications:

  • High School Diploma or GED
  • Minimum of five (5) years of experience in the areas of facilities and/or school management
  • Ability to obtain a State of Arizona Identify Verified (IVP) Fingerprint Clearance Card
  • Valid state issued driver license (position requires travel to multiple sites using a district vehicle)


Preferred Qualifications:
1. Preferred experience working in K12 education


Role Overview:

The Manager – Systems, Data and Customer Experience is responsible for overseeing the integration of the work order system, data management, and customer interactions with a focus on ensuring a positive customer experience. This role requires a strong understanding of both technical systems and customer-facing processes to enhance efficiency, improve customer satisfaction, and drive overall work order efficiency. Additionally responsible for managing vendor relationships, serving as the work order system administrator, and is the key point of contact for FMFL with principals and office managers. Generates reports and tracks key performance indicators. Manages permits and ensures timely renewals. Troubleshoots purchase order issues and serves as a liaison between school sites and FMFL trades. May occasionally
assist with emergency situations and maintenance requests.

Knowledge, Skills, & Abilities

  • Operational planning and performance monitoring (KPIs, metrics, industry standards,
  • etc.)
  • Ability to effectively communicate ideas and information in written and oral format to staff, colleagues, district leadership, and the governing board.
  • Basic understanding of skilled trades and construction: Materials, methods, and the tools involved in the construction or repair of buildings or other structures.
  • Administrative: Administrative and office procedures, functions and basic office tasks
  • Management: Business/management principles involved in strategic planning, resource allocation, leadership, and coordination of people and resources.
  • Customer and personal service: Principles and processes for providing customer and personal services.
  • Law/government: Relevant local, state, and national laws and government regulations including Board of Education policy

Responsibilities:


Systems and Data Management

  • Manage work order system and provide training to employees as needed
  • Lead data collection and KPI reporting to identify trends and areas for opportunity
  • Generate reports and communicate status to FMFL team and the district
  • Manage permits and ensure timely renewals

FMFL Liaison

  • Serve as the designated liaison for FMFL with school sites and other departments
  • Develop and execute strategies that enhance the customer experience
  • Analyze customer feedback and implement strategies for improvement


Vendor Relations

  • Serve as vendor point of contact for problem solving and issue resolution
  • Collaborate with FMFL and vendors to ensure seamless execution of work
  • Obtain quotes and ensure purchasing compliance
  • Ensure vendor work completed per standard


Customer Service

  • Respond to stakeholder inquiries
  • Problem solve issues and develop a plan for resolution

Supervisory Responsibilities

  • Supervisory Responsibility: None

  • Budget Signing Authority: Department supplies and materials with approval
  • Decision-making Authority: Decisions impact the department and/or school site


Mental and Psychological Demands:

  • High demands: The job requires significant mental effort and involves high levels of stress (e.g., Frequent need to deal with difficult customers or manage emotions when interacting with others, often working under tight deadlines, exposure to public criticism, regularly requires extended periods of concentration on complex tasks).

Work Type/Physical Demands
Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.


Working Environment

Moderate risk and discomfort level: The work involves moderate risks or discomforts that require special safety precautions, e.g., working around moving parts, carts, or machines; exposure to contagious diseases or irritant chemicals. Employees may be required to use protective clothing or gear, such as masks, gowns, coats, boots, goggles, gloves, or shields.
