Office Administrative Assistant
The Office Administrative Assistant (Office Admin) provides administrative, communications and clerical support to Temple Mount Sinai’s Rabbi, Executive Director, Religious School & Music Coordinator, Officers and Trustees and reports to the Executive Director.
A successful candidate is efficient, reliable, able to work independently and with groups and has great communication skills and attention to detail. This position requires the ability to handle highly sensitive and confidential information on a regular basis. This is a full-time, hourly position and completion of tasks may require time outside of Temple’s regular business hours from time to time.
Job Responsibilities:
· Collect articles and pictures, layout, publish and distribute monthly bulletin.
· Answer incoming telephone calls and transfer or take messages as needed.
· Greet visitors and guests and direct them appropriately.
· Maintain service of office machines and inventory of office supplies.
· Receive and record donations and payments in customer management software and process credit card charges as needed.
· Manage thank you cards for donations by coordinating volunteers (who write cards) and ensuring cards are sent.
· Manage the Rabbi’s calendar including scheduling meetings or adding details to existing appointments as needed.
· Manage volunteer calendars as needed including sending reminders and information when requested or necessary.
· Assist other Temple staff in preparation of materials for classes, worship services, religious school and other programs.
· Prepare for various weekly events by ensuring rooms are appropriately set up, supplies and materials are made and placed where needed and facilities are appropriately closed down after services or events.
· Perform such other duties as may be requested by the Temple staff and Board members.
Skills Required:
· Proficient in Microsoft Word, Microsoft Excel, Microsoft Publisher, Microsoft Outlook, Microsoft Power Point and Microsoft Edge/Google Chrome.
· Experience with Constant Contact and ShulCloud or other database software preferred.
· Some exposure to website management preferred.
· Excellent communication skills both written and verbal.
· Ability to balance competing priorities and timelines.
· Ability to maintain professionalism, a clean and neat workplace and confidentiality.
· Flexibility to attend and provide administrative support for religious services, religious celebrations and other events. Advance notice will be provided.
Skills and Experience:
· Minimum of 3 years experience as an administrative assistant.
· Minimum of 3 years experience working with Microsoft Office Suite.
· Experience working in a non-profit organization preferred.
Typical Working Environment:
· The Office Admin shall be present Monday through Thursday from 9:00 am to 6:00 pm and on Friday 9:00 am to 1:00 pm; office hours subject to change on request by Rabbi, Executive Director or Board of Trustees.
· Office Admin will attend specified meetings or events when requested by the Rabbi or Executive Director, some of which may occur on the weekends or evenings. Advance notice is typically provided.
