About the Role
The Client Services Coordinator is a key member of our team, responsible for overseeing front desk operations, assisting clients, and managing day-to-day activities. You’ll also supervise employees, train new team members, and ensure smooth operations. This role is perfect for someone with strong leadership skills, excellent customer service abilities, and a heart for making a difference in children’s lives.
Key Responsibilities
Front Desk Management
- Greet clients and visitors warmly, creating a welcoming environment.
- Manage check-ins, check-outs, and program scheduling.
- Handle phone calls, emails, and inquiries with professionalism.
- Maintain accurate client records and ensure the front desk remains organized.
Client Support
- Provide information about gym services, programs, and events.
- Guide clients on navigating the sensory gym and its offerings.
- Resolve client concerns and complaints promptly, ensuring satisfaction.
Customer Experience
- Foster a positive, supportive atmosphere for clients and staff.
- Monitor client satisfaction, collect feedback, and assist in implementing improvements.
- Communicate updates or changes to gym services and programs.
- Build strong relationships with clients, encouraging community and loyalty.
Employee Management
- Supervise coaches and volunteers, ensuring excellent customer service.
- Train new team members on daily procedures, policies, and standards.
- Address employee concerns and foster a positive work environment.
Administrative Support
- Process payments, memberships, and billing information.
- Manage appointment reminders, cancellations, and schedule adjustments.
- Prepare reports on client activity, employee performance, and operational issues.
- Maintain inventory and supplies at the front desk.
- Assist with promotional materials and social media content when needed.
Qualifications
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in business, health, fitness, or a related field preferred.
- Experience: Prior experience in customer service, administrative roles, or leadership, ideally in health, wellness, or fitness. Experience working with children with disabilities is a plus.
- Skills:
- Strong leadership and interpersonal abilities to motivate and manage a team.
- Excellent organizational skills and multitasking capability.
- Compassionate and empathetic, with experience working with diverse populations.
- Strong communication skills (verbal and written).
- Proficiency in Microsoft Office, Google Suite, and scheduling tools.
- Familiarity with CRM systems and POS software.
- Ability to handle sensitive information with discretion.
Physical Demands
- Ability to sit or stand for extended periods during shifts.
- Occasional light lifting and exposure to cleaning products.
Work Environment
