POSITION SUMMARY: Ensures the processes of lease acquisition and management, main facility and field office support, agency space planning, and office relocation function smoothly and accurately; Coordinates all agency workorders, serves as the Coordinator for Agency Security, OSHA training and compliance and Business Continuity facility functions. Primary contact for facility disaster assessment and recovery.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.
Requests, processes, and administers all central office and field office leases.
Responsible for Agency Interior Space Planning development, design and oversight of central office and field office leased facilities.
Travels to field offices to provide Operations support and resolve lease issues.
Builds and maintains a positive relationship with Lessor’s and State of Tennessee Real Property Administration.
Maintains current lease spreadsheets.
Coordinates and facilitates Agency relocations; Including compilation of divisional needs, move charts, organization and implementation of move schedule.
Serves as the Agency Security Coordinator.
Writes, trains and coordinates all staff on agency security procedures including emergency response and updates for Agency compliance.
Coordinates periodic Safety and Hazard Assessments, and acts on any findings, and performs compliance training according to OSHA guidelines.
Coordinates periodic Emergency Response Procedures drills.
Recruits and trains all agency Security Officers and maintains current seating charts for accurate security information.
Coordinates Security Cards and the Keyscan System.
Business Continuity Plan Primary Contact for facility disaster assessment and recovery.
Enters work orders into the Operations Work Order Database and Corrigo System; disseminates and follows work orders through to completion.
Coordinates issuance of State ID’s, and Onguard Security Badge set up and deactivation.
Handles agency surplus entry and dispersal.
Primary back up for Operations Lead Procurement & Facility Coordinator.
MINIMUM QUALIFICATIONS
The requirements listed below are representative of the knowledge, skills, and/or abilities required.
Education and Experience:
High school diploma or equivalent GED; Bachelor degree or relevant post-high school certification preferred.
Three years of related experience, to include professional office experience and facility or property management experience.
Experience with business continuity plans and/or disaster planning is a plus.

Current, valid driver’s license from domicile state and the ability to drive.
For the past five years, the employee driving record must not have record of the following violations: driving under the influence (DUI), reckless driving, license suspension for moving violations, more than 4 moving violations
Frequent in-state travel, including overnight travel.
While performing the duties of this job, the employee is regularly required to sit; stand; use hands to finger, handle or feel; and talk and hear.
The employee is occasionally required to walk; reach with hands and arms, and stoop, kneel, or crouch.
Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
