Ensure that the departmental office functions to the benefit of students, faculty and chair. This includes assisting the department chair in day-to-day activities, responding to students concerns, and assuring faculty needs are adequately met.

Essential Functions
Serve as a multi-purpose office manager with responsibilities that include: maintaining office efficiency and participating in creative problem-solving and decision-making processes involved in running the department. Manage the departmental office to ensure that it runs smoothly, efficiently and productively while maintaining high morale of faculty, staff, students and student workers. Assist department chair in all aspects of his/her job including meeting deadlines, advising department chair of operational and budgetary matters, open and review all correspondence for the department and chair, advise chair of major supply/equipment purchase needs and assist the chair in creating course schedules and classroom assignments. Compose routine and non-routine correspondence. Oversee and maintain all budgets for the department, including summer school, overload, and adjunct payrolls, undergraduate and graduate stipends, scholarships, and office invoices. Order all office supplies and equipment. Assist students and advisors during registration. Create, maintain and update all web pages for the department website. Attend all departmental faculty meetings, keep records and prepare minutes of said meetings. Supervise the maintenance of department classrooms and office space. Assist search committees with job advertisement and subsequent scheduling of candidate’s food and lodging. Order food through dining services. Maintain all financial, personnel and student (undergraduate and graduate) records. Help supervise student workers. Responsibilities are second only to the department chair.
Minimum Qualifications
High school diploma/GED with two years of professional clerical/general office experience or a bachelor’s degree from an accredited institution. Ability to interpret and apply University policies, procedures, and budget/accounting processes. Excellent written and oral communication skills. Excellent computer skills and proficiency with a variety of computer applications including software such as but not limited to MS Outlook, MS Word, MS Excel, PowerPoint, on-line systems and Internet. Ability to work with minimum supervision. Ability to manage workload and meet deadlines. Ability to multi-task effectively in a varied, high-volume environment. Detail-oriented with excellent organizational skills and the ability to prioritize objectives.
Preferred Qualifications
Experience in an institutional/education environment. Experience with Microsoft Office Suite, Banner, Eagle Online, Eagle Buy, Argos, Chrome River, and Web publishing. Knowledge of TTU Policies and Procedures.
Work Hours
Typical hours are Monday-Friday, 8:00 a.m. – 4:30 p.m.

Salary Commensurate with education and experience. Pay grade 6. Benefits Information
