What are the responsibilities and job description for the Document Control Specialist position at Tesla?
Tesla is looking for a highly motivated Business Operations Specialist. This position's primarily responsibility is to work with the Infrastructure Work Environment team at our Gigafactory in Sparks, Nevada. The position will support in the design, planning and execution of company infrastructure by providing the team with the necessary information to ensure successful document management. Role would support project processes and documentation from the design phase to project close out. The successful candidate will support daily management and maintenance of the document control system across all sites, help to create and maintain standards, support reporting, and provide trainings to internal and external team members.
Responsibilities
- Act as the central contact for document control, ensuring sub-contractors and suppliers comply with Tesla's document management system
- Process and review documents such as submittals, drawings, calculations, and engineering data while maintaining a compliant and organized document register
- Create, manage, and facilitate the approval of project documents, ensuring all project correspondence is properly maintained
- Provide training to new team members during onboarding and support Contracts and Procurement teams in document management tasks
- Maintain weekly reports and logs to track open workflows, mail items, submittals, and other key documents
- Collaborate with sub-contractors and suppliers during contract closeout to ensure all required documents are received before retention payments are released
- Oversee document control resources for engineering and construction projects while adapting to additional support requests based on project need
