Job Description

Purpose:

The Program Specialist provides administrative, operational, and programmatic support for the Thomas and Joan Read Center for Distribution Research and Education (Read Center). This role is responsible for coordinating events, managing industry partnerships, facilitating communications, overseeing administrative processes, and supporting strategic initiatives. The Program Specialist plays a vital role in advancing the Center’s mission by engaging with faculty, students, and industry professionals.

Key Responsibilities:

Program Coordination & Center Support

  • Plan, develop, implement, coordinate, and monitor specialized programs, projects, and services, including conferences, seminars, workshops, and industry events.
  • Assist with the overall operations of the Read Center by managing day-to-day tasks, strategic initiatives, and long-term projects.
  • Develop and assess programs, ensuring compliance with university policies and procedures.
  • Assist with center-related reporting, including annual reports, proposal documentation, and performance metrics.
  • Interpret policies, rules, and regulations and ensure compliance.

Administrative & Financial Support

  • Process purchases for the center and maintain a ProCard for use by center leadership, ensuring timely reconciliation and reporting.
  • Coordinate travel arrangements for faculty, students, and staff, including preparing itineraries and processing travel-related documents in Concur
  • Maintain files, confidential records, and documentation in accordance with university guidelines.
  • Prepare and maintain budgets, reports, and other financial documents.
  • Provide administrative support for faculty, staff, and students affiliated with the Read Center.

Communications, Marketing & Events

  • Coordinate logistics for center events, including scheduling, travel, speaker coordination, AV setup, and promotional efforts.
  • Develop, edit, and update communications materials such as presentations, reports, social media content, and marketing collateral.
  • Serve as the primary point of contact for events and meetings, ensuring effective engagement with participating organizations.
  • Manage social media and digital marketing efforts to promote center initiatives.

Industry Engagement & Stakeholder Relations

  • Maintain and foster relationships with industry partners, faculty, and students.
  • Support and organize industry engagement activities, including workshops, seminars, and short courses.
  • Serve as the liaison between the Read Center and external stakeholders, ensuring effective communication and collaboration.

General Responsibilities

  • Exhibit professionalism, customer service, and discretion in handling confidential matters.
  • Participate in university, division, and department committees and task forces.
  • Perform other duties as assigned.
  • Requires occasional evening, night, weekend, and holiday work.

Qualifications*

We are recruiting for a level I, II, III, or IV Program Specialist to support the Thomas and Joan Read Center for Distribution Research and Education (Read Center).

Minimum qualifications for a Program Specialist I:

  • Bachelor's degree or equivalent combination of education and experience with no prior experience.

Minimum qualifications for a Program Specialist II:

  • Bachelor's degree and two years of related experience or equivalent combination of education and experience.

Minimum qualifications for a Program Specialist III:

  • Bachelor's degree and three years of related experience or equivalent combination of education and experience.

Minimum qualifications for a Program Specialist IV:

  • Bachelor's degree and six years of related experience or equivalent combination of education and experience.

The well-qualified candidates would possess the following:

  • Strong organizational, communication, and problem-solving skills.
  • Ability to multitask, manage deadlines, and work independently or collaboratively.
  • Proficiency in Microsoft Office, Google Drive, and general office applications.
  • High attention to detail and ability to exercise sound judgment.
  • Experience using scheduling tools (Outlook, When2Meet, DoodlePoll, Calendly).
  • Familiarity with design and website software (Publisher, Photoshop, Canva, etc.).
  • Proficiency in Zoom, Slack, and other communication platforms.
  • Experience in event planning, marketing, or stakeholder engagement.
