Job Description
Purpose :
The Program Specialist II, under general supervision, performs specialist duties for a department, college, or division. Serves as the primary support for the Analog & Mixed Signals, Biomedical Imaging, Sensing & Genomic Signal Processing, and the Electromagnetics & Microwaves groups. Duties include but are not limited to processing travel expense reports, business meals, and personal reimbursement requests.
Responsibilities :
- Serves as the primary support for the Analog & Mixed Signals, Biomedical Imaging, Sensing & Genomic Signal Processing, and the Electromagnetics & Microwaves groups. Duties include but are not limited to processing travel expense reports, business meals, and personal reimbursement requests.
- Assist external departmental visitors with travel arrangements, forms, and other related correspondence for domestic and foreign travel.
- Obtains all (itemized) receipts that show proof of payment related to travel for faculty and external department visitors.
- Facilitate corrections and updates needed for travel requests and expense reports upon business office and University / Agency travel audits in approval flow.
- Obtain vendor forms (W9 and W8-BEN) forms from external travelers to ensure that they are listed as vendors in Concur. Coordinate with the ELEN Business Office for processing with the University.
- Processing and tracking of courtesy joint and adjunct appointment requests.
- Serves as the backup support to the Seminar Committee Chairman for the departmental Distinguished Speaker and Leaders & Innovators Speaker Series. Duties will include in assisting in making travel arrangements, assisting faculty host with itineraries, preparing documentation for honorariums, reimbursements, meal forms, & ordering plaques for the Distinguished Speaker Series as needed.
- Coordinates specialized program communications and marketing materials
- Assists in the preparation and maintenance of budgets, special reports, letters and other documents for departmental advising offices.
- Assist in planning and implementing special events and logistical arrangements to include itineraries for events like career fairs, recruiting events, graduation, symposia, banquets, advisory council meetings, and other faculty, department, or student related events.
- Assists in the preparation and maintenance of budgets, special reports, and other documents.
- Assists in the development of policies, procedures, and guidelines.
- Assist in coordinating summer camps & other departmental camps / programs for minors
- Assist with coordinating events associated with External Advisory Council & Honor student activities. These duties include but are not limited to securing meeting space, creating marketing materials, overseeing registration, ordering food, & coordinating with the business office to pay expenses associated.
- Assist with annual departmental fundraising mail out.
- Confers with administrative staff on program issues and problems.
- Serves as the primary backup to the main office staff when needed
- Other duties as assigned
