The College of Dentistry is looking for an Administrative Associate III to serve in the department of Comprehensive Dentistry.

What you need to know
Proposed Salary : $19.56 hourly
Work Schedule / Location : This is an on-site role with a typical schedule of Monday Friday 8am to 5pm.

Required Education and Experience
High school diploma or equivalent combination of education and experience.
Three years of experience in general office and / or clerical work.
Preferred Qualifications
Professional administrative experience in medical or dental office.
Detail-oriented, highly motivated individual, with the ability to balance multiple tasks simultaneously.
Professional experience invoicing and paying bills.
Experience working in education in an office role.
Scheduling and meeting / event coordination skills.
Strong technical / business writing skills.
Knowledge, Skills, and Abilities
Knowledge of word processing, spreadsheet, and database applications.
Strong verbal and written communication skills.
Ability to work with sensitive information and maintain confidentiality.
Strong interpersonal and organizational skills.
Essential Duties / Tasks :
Office Support
Support department head and office personnel by assisting with office administration.
Open and properly distribute incoming mail and handle outgoing mail.
Respond to email correspondence in a professional and expeditious manner.
Provide administrative and logistical support for events and meetings by anticipating needs such as room reservations, equipment needs, various communication needs, catering orders, event signage, publicity posting including email invitations, printing and material distribution, maintenance of RSVPs, and maintenance of contact lists.
Record meeting minutes and create post-meeting reports.
Maintain and monitor office supplies and equipment, and place orders to maintain inventory levels.
Log and prepare departmental invoices to forward to Accounts Payable, pick up dental lab invoices from CEB office regularly.
Submit facilities work orders for department.
Departmental Support
Track faculty absences; disseminate notifications to clinic personnel regarding coverage.
Assist Program Coordinator with pre-clinic academic support; make photocopies, reserve rooms, proctor exams, etc. as requested by faculty.
Serve as back-up to student absence liaisons, which may include monitoring student clinic absence email inbox and disseminate notifications to clinic personnel.
Assist with administrative support for other programs (AEGD, Grad Prosthodontics) as designated.
