The Administrative Coordinator I works under the direct supervision of the program coordinator and assists in full range of administrative activities for the DeTar Family Medicine Residency including creating and maintaining schedules, managing reports and implementation of policies and procedures.

Required Education and Experience

Bachelor’s degree or equivalent combination of education and experience

2 years of experience in office administration

Basic knowledge of Microsoft Office and Google Software

Preferred Education and Experience

Bachelor’s degree

Previous experience in Graduate Medical Education (GME)

Extensive knowledge of Microsoft Office, Google Software, New Innovations, and ERAS AAMC.

Responsibilities

Administrative & Program Support :  Develops, evaluates, and ensures adherence to office procedures; monitors office procedures to eliminate duplication of effort and to streamline flow of operations, maintains office supplies and equipment inventory. Serves as personal assistant to the Program Director, Assistant Program Director & the Program Coordinator which includes providing data for required reporting, planning of annual and mid-year meetings, coordinating the community oriented primary care rotation, taking minutes at meetings. Provides administrative coordination and support for specialized activities or projects; coordinates and provide logistical and administrative support for events, meetings, or other special functions, including on-site support. Support functions in special projects to include Faculty Appointment Process, HR, Finance, Travel and Marketing.

Office Management : Manages services such as mail, pick-up and delivery, printing, and equipment maintenance; assures the confidentiality of mail, correspondence and reports; researches, compiles and applies information, making evaluative judgments on appropriate data to use. Applies, interprets and communicates University policies and procedures and serves as a resource in order to provide timely responses to physicians, etc. Resolves complex, highly sensitive and confidential administrative matters; responds to information requests. Provides agendas and staffing assistance to meetings; prepares presentation and communication materials. Manages and evaluates incoming mail, correspondence, and inquiries, distributing with instructions on action items as needed.

Clinic Support : Coordinates and maintains database for tracking clinical patient numbers and evaluations necessary for required reporting. Assists in evaluating data for program growth and resident progress. Oversees and maintains the clinic schedules, including tracking time-off. Oversees and maintains the faculty call schedule. Monitors changes to daily schedules and makes recommendations to improve procedures as needed. Coordinates the coverage of the monthly Methodist clinic.

Event Planning : Supports audition rotations by coordinating all necessary paperwork, creating the schedule and providing assistance to applicants as needed. Coordinates the arrangement and execution of events such as Graduation, Second Look and Wellness Activities. Provides on-site support as needed. Coordinates the execution of the orientation schedule each year. Performs other duties as assigned.
