Job Summary
The Records Specialist II, under general supervision, sets up, controls, and maintains University files. Develops and updates records management policies and procedures.
Essential Duties and Responsibilities
Create an effective and efficient student-centered, service-oriented atmosphere and provide excellent customer service. This includes but is not limited to, answering the telephone promptly, responding to emails, and processing changes to student academic records accurately and timely.
Ensures compliance with academic, and regulatory requirements, including adherence to FERPA guidelines, with accuracy, timeliness, and student-centered professionalism.
Assist other office employees in maintaining files and purging records/files according to the record retention schedule.
Assists with generating reports and correcting data.
Provide training and assistance to the Javelina Enrollment Services Center concerning Office of the Registrar policies and procedures.
Assist with registration, transcripts, enrollment verifications, end-of-term processes, and presentations.
Provides resources for document imaging processing, such as web resources, training, access forms, and documented processes.
Maintains and trains others on the use of the university imaging system. Reviews data entry, data retrieval, and data searches. Accountable for imaging system security and setting up, monitoring, and deleting access.
Assist with supervision of student workers.

Minimum Requirements
Education - Associate degree in applicable field or equivalent combination of education and experience.
Experience - Three years of related experience in a business environment.
Knowledge of - Knowledge of word processing, spreadsheet, and database applications.
Ability to - Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality. Ability to communicate clearly and effectively to ensure understanding. Strong verbal and written communication skills.
Supervision of Others
This position generally does not supervise employees.
Other Requirements
Prefer 3-4 years of experience in higher education.
