PURPOSE
The Records Specialist II, under general supervision, is responsible for updating and maintaining University files. They assist in developing and updating records, as well as departmental and University policies and procedures. This position is a full-time Office Associate –responsible for supporting the Registrar's Office and associated record keeping functions. Represent the Registrar’s Office as primary contact for student, faculty, staff, and alumni needs.
DESCRIPTION
Functional Area 1: Operations
Percent Effort: 50%
- Create an effective & efficient student-centered, service-oriented atmosphere and provide excellent customer service. Represent the Registrar’s Office as primary contact for student, faculty, staff, and alumni needs. This includes, but not limited to, assisting & responded to all in person and electronic questions, processing students’ changes to the student records accurately and timely.
- Team lead for front counter operations. Responsible for providing resources to assist customer’s needs. Ensures compliance with academic, regulatory requirements, including adherence to FERPA guidelines, with accuracy, timeliness, and student-centered professionalism.
- Responsible the Registrar departmental email account, reply to emails and/or route emails to the correct contact person / office.
- Create, implement, research, and maintain requested updates to student records. Process student registration adds, drops, and withdrawals from the University.
Functional Area 2: Support
Percent Effort: 35%
- Update student records for all FERPA requests.
- Assist Assistant Registrar with term set up and end of term processes.
- Assist with printing, preparation, and mail-out of diplomas.
- Process all incoming student curriculum changes such as Change of Curriculum forms, Change of Grade forms and Biographical Data forms.
- Process Student appeals and notify students about result of the appeal as well as concerning departments.
Functional Area 3: Support
Percent Effort: 15%
- Assist with Commencement and Registrar related events throughout the year.
- Serve as a backup and assist when needed in printing transcripts and preparing for shipment.
- Assist Assistant Registrar with special projects and perform other duties as assigned.
- Perform other duties as assigned.
QUALIFICATIONS
- Associate’s Degree in Business, Communications or related.
- Three (3) years of customer service or related administrative experience.
- Additional education/experience may be considered as a substitute for the minimum qualifications required:
- High school Diploma or GED and five (5) years of related experience. OR
- Bachelor’s Degree in Business, Communications or related and one (1) year of related experience.
- Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), and in Windows environment.
- Excellent written, verbal, and interpersonal communication skills to be able to communicate effectively in a positive, courteous, professional manner with different population of customers in person, telephone, or e-mail.
- Self-motivated, self-directed, and has excellent attention to detail.
- Ability to work on Saturdays as needed for commencement and University programs.
PREFERRED QUALIFICATIONS
- Bachelor’s Degree in Communication or related field.
- Experience in admissions and records in higher education.
- Working knowledge of Banner.
SALARY $17.83 Hourly ($37,086.40 Annually Approx.)
