The Office Assistant is responsible for managing daily administrative operations to ensure a well-organized, efficient, and productive office environment. This role supports staff and management by handling administrative tasks, coordinating office procedures, and maintaining office systems. An understanding of and passion for TAP’s mission and branding is critical to the success of this role.
Position Description
- Oversee day-to-day office operations and procedures.
- Provide essential administrative support, great customer services and ensure the smooth operation of our office.
- Maintain and organize office environment by ensuring supplies are stocked and equipment is functional. Office must be kept orderly and tidy.
- Maintain inventory of office supplies and reorder as necessary.
- Handle incoming calls, emails, and other communications.
- Organize and schedule meetings, appointments, and events.
- Organize and maintain physical files and digital filing systems.
- Process incoming and outgoing mail and deliveries.
- Perform errands as needed to facilitate office operations.
- Support human resources with some onboarding tasks, scheduling, and maintaining records.
- Coordinate office maintenance and repairs, working with vendors as needed.
- Ensure office compliance with company policies and safety regulations.
- Provide administrative support to management and other departments.
- Other administrative duties as assigned.
QUALIFICATIONS:
- High school diploma or equivalent (Associate or Bachelor’s degree preferred).
- Proven experience as an Office Administrator, Office Manager, or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
- Fluency in Spanish, written and spoken, preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both verbal and written, with a focus on professional phone etiquette.
- Excellent communication and interpersonal abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as well as part of a team in a dynamic environment.
- Strong time management abilities to meet deadlines.
- Ability to work standard office hours with occasional overtime when necessary.
- Valid Driver’s license and reliable means of transportation.
- Primarily office-based with minimal physical demands (e.g., lifting up to 25 lbs)
Salary range $17.00-$19.00. Compensation is commensurate with experience. You have the opportunity to participate in the Project’s matching retirement plan.
