About the role:
As the first point of contact for clients, drivers, and visitors, the Receptionist at Texas Carriers plays a crucial role in ensuring smooth day-to-day operations and maintaining a professional image for the company. This position requires excellent communication skills, strong organizational abilities, and a friendly demeanor to manage various administrative tasks effectively.
Key responsibilities:
- Greet visitors, clients and drivers warmly, ensuring a positive first impression.
- Answer and direct phone call to the appropriate departments or personnel.
- Manage incoming and outgoing mail and package
- Provide information about the company services and address client inquiries.
- Assist drivers with check-ins, paperwork, and any issue they may encounter.
- Maintain an organized reception area, including managing office supplies and equipment.
- Perform data entry tasks, meetings, and coordinate conference room.
- Relay messages and information to relevant departments such as dispatch, accounting, etc.
- Adress and resolve minor issues or escalate them to the appropriate personnel as needed.
- Handle customer complaints or concerns with professionalism and efficiency.
- Maintain confidentiality and handle sensitive information with discretion.
Minimum Qualifications:
- High school diploma or equivalent, additional administrative training is a plus.
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Basic understanding of trucking operations and logistics is beneficial.
- Ability to engage with customers and vendors in a friendly and courteous manner.
- Attention to detail
- Proficient in Microsoft Office Suite, especially Microsoft Excel
- Proficient in QuickBooks Desktop
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to work independently and identify and solve problems
- Ability to organize and prioritize work
