I. Purpose & Summary of Position:
The Finance Coordinator is a vital member of the Finance team. This position requires excellent organizational and communication skills. The Finance Coordinator – Payroll position provides key accounting support to the Finance Team with emphasis on payroll processing, timekeeping, labor allocation, filing support documentation, and compiling grant reports supporting documentation. This position also assists with accounts payable processing and other finance related functions.
The Finance Coordinator - Payroll can work independently and envision ways to provide efficiency in the tasks assigned.
II. Priority Functions / Responsibilities
Administrative and Clerical – 10%
- Perform administrative tasks and other duties as needed.
- Maintain payroll and benefit files as directed.
Payroll – 70%
- Tracking missing or incomplete timesheets of employees and ensuring data is accurate within the timekeeping system by notifying employee’s supervisor.
- Payroll processing on a bi-weekly basis using a 3rd party payroll provider.
- Ensure correct data entry of payroll labor allocations.
- Payroll reconciliation of 3rd party payroll vendors to ensure all payroll payables are correctly reflected in General Ledger and timely payments are made.
- Assist with annual benefit enrollment.
- Enter benefit rates into Payroll software and ensure benefits and deductions are reflected correctly.
- Reconcile employee elections and voluntary deductions to monthly benefit statements.
- Prepare journal entries to record post payroll transactions.
- Reconciliation of payroll related general ledger accounts.
Grant/Funder Contract Management- 20%
Monitor project progress by tracking activity; resolving problems; preparing progress reports; and recommending action current and year to date actual payroll expenses and compare them to budgeted amounts.
- Prepare monthly analysis of budget to actual work hours to help ensure grants are being used according to budget.
- Manage grant supporting documentation related to payroll and payroll benefits.
- Stay familiar with grant regulations and conditions on funded awards and contracts.
- Grant billing assistance as needed.

- Texas residency required. This role is an in-office position and is not eligible for a hybrid or remote work.
- Minimum of one year of progressively responsible experience in accounts payable/ accounting/grant fiscal reporting/payroll.
- High level of accuracy and excellent attention to detail.
- Dedicated, energetic, detail oriented and ability to thrive in a dynamic environment.
- Demonstrated ability to multi-task and work under tight and/or changing timelines; disciplined time management skills to coordinate and prioritize own and others’ activities, evaluate progress and provide feedback; and to reallocate resources to complete activities within set deadlines.
- Self-starter, able to work independently; enjoys creating and implementing new initiatives.
- Excellent writing/editing and verbal communication skills.
- Excellent skills in creating, managing and editing spreadsheets.
IV. Working Conditions and Environment/Physical Demands:
Ability to communicate and converse in English. Occasional local travel. Ability to frequently tolerate prolonged stationary positions and frequently move about an office space. Ability to engage in occasional contact with diverse internal groups. Must possess emotional and physical stamina to deal with a variety of high-pressure situations, such as: responding to complaints, handling difficult internal and external interactions, and effectively working long and, at times, non-traditional hours.
