The Administrative Assistant for Quality Assurance Department Performs routine administrative support work. Work involves providing internal administrative support including disseminating information, assisting with maintaining filing systems, and preparing and editing reports and documents. Works under moderate supervision, with limited latitude for the use of initiative and independent judgment. Provides backup duties for Administration Administrative Assistants as needed. Communicates regularly with external entities and inputs work orders for building. Performs
data entry work, moderate secretarial / clerical tasks focusing on organization of documents under the general supervision of the Quality Assurance Director with latitude for the use of initiative and independent judgment. Other duties may include, but not limited to reception duties, taking meeting minutes, timekeeping, ordering office supplies, entering work orders, maintaining staff inventory, and the coordination of confidential information.
Essential Job Functions (EJFs) :
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and / or overtime in accordance with agency leave policy and performs other duties as assigned.
Prepares and disseminates information concerning agency programs and services. Prepares, edits, and distributes correspondence, reports, studies, forms, and documents.
Performs general office duties such as filing, answering, and routing phone calls, routing mail, and ordering and
maintaining office supplies.
Responds to inquiries and explains rules, regulations, policies, and procedures.
Assists in planning meetings, conferences, and seminars.
Assists in compiling and entering data for charts, graphs, databases, summaries, or reports.
Prepares and distributes correspondence, reports, studies, forms, and documents.
Performs general office duties such as copying / faxing / scanning documents, answering phone calls, routing incoming phone calls, taking messages, and greeting visitors.
May assist in researching, composing, designing, or editing agency publications.
Maintains files and record keeping systems.
Other duties as assigned include but are not limited to actively participating and / or serving in a supporting role to meet the agency's obligations for disaster response and / or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and / or location.
Knowledge, Skills and Abilities (KSAs) :

Knowledge of office practices and administrative procedures.
Knowledge in the use of standard office equipment and software.
Knowledge of business English, spelling, punctuation, grammar, and or modern practices and procedures.

Skill in compiling and analyzing data.
Ability to keep complex and confidential records; to prepare automated forms and tables.
Ability to take meeting minutes and type reports.
Ability to establish positive relationships and effectively communicate information to others.

Initial Screening Criteria :
Graduation from high school or GED.
Two (2) years working as a clerk / secretary.
Experience using Microsoft Word, Excel, and Outlook.

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse / Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals / Entities (LEIE).

Flexibility in work hours may be required for this position. The position may be required to work overtime and / or extended hours. Must be willing to work weekends and holidays.
