The position is located at the Statewide Intake (SWI) contact center (Abuse Hotline) of the Department of Protective and Family Services (DFPS). Responsibilities involve administrative work in the support staff department, such as routing calls to the appropriate queues, providing information and resources to callers, and completing administrative duties for various workloads. In addition to administrative tasks, the position functions as lead worker assisting both, the supervisors, and other administrative staff in the support area. The position assigns workloads and trains others. Interacts routinely with Texas Department of Family and Protective Services (DFPS) Child and Adult Protective Services, Licensing, SWI Specialists, supervisors, management, law enforcement agencies, and the public.
Details :
Performs administrative tasks in the SWI support staff area for intake specialists, supervisors, screeners, operations staff and leadership. Answers, routes, and documents calls received at the reporting and DFPS employee administrative lines. Provides information and resources to SWI and DFPS staff and the public. Generates and routes law enforcement notifications. Processes mailing and faxing to outside agencies. Notifies regional staff of high priority and time sensitive reports. Prepares faxed and mailed correspondence for intake processing.
The lead worker creates monthly workload schedules and assigns daily work activities to other administrative staff. Answers questions about and assists with workloads and processes. Researches and resolves internal workload issues. Assists external stakeholders, such as regional DFPS staff, law enforcement agencies, Children's Advocacy centers, and other Texas and national state agencies.
Trains new hires and provides ongoing workload coaching to existing staff. Assists with updating or updates internal handbooks and business processes. Completes special projects and other duties as assigned.
KSA :
Knowledge of modern office practices, procedures and using office machines and equipment.
Knowledge of agency functions and structure.
Skill in the use and operation of personal computers and in using word processing, spreadsheet, and database software applications.
Ability to implement administrative procedures and to evaluate their effectiveness.

Initial Screening Criteria :
Graduation from a senior high school or equivalent. A minimum of two (2) years full-time experience in office management, administrative support, program support or advanced office support required. Additional education may be substituted for the required work experience on a year-for-year basis.
