- High level of computer literacy with experience in data entry, administrative support and/or bookkeeping.
- Experience with processing confidential information.
- Experience in a customer service role or applicable service-oriented position. Ability to listen, interpret and process information and respond with solutions.
- Experience following written job instructions. Demonstrated ability to pay attention to accuracy and detail. Ability to learn software and processes quickly.
- Highly organized and able to maintain a high level of productivity and quality in a fast-paced, deadline-driven, team environment; including ability to prioritize work projects and meet deadlines with minimal supervision. Ability to work effectively and independently with all levels of staff and management.
- Must be adept with a PC and skilled in the use of Microsoft Office software including Excel, Word, and Outlook.

Preferred Qualifications
- Proficiency in LexisNexis, Banner, Raiser’s Edge Fundraising Software, Omatic, financial database experience or similar databases.
- Ability to work from a solution driven prospective; able to recognize problems and develop detailed solutions with a plan for implementation.
- Previous work experience in fundraising support role.
- Experience with gift processing or charitable gift accounting.
- Experience working in higher education.
- Data mapping and import tool experience.
- Experience running reports within relational database application.
- Experience using Internet-based research tools.
Job Description
The Advancement Services office is seeking a competent and motivated individual to join our team. The position is responsible for performing varied data entry work involving processing, recording, analyzing, researching and maintenance of data into the donor database. It is also responsible for data imports into the database and creation of simple queries and exports for ad hoc report requests to support University Advancement and departments across campus.
Job Duties
- Manage the front desk, greet visitors, answer phone calls to Advancement Services. Monitor Advancement Services email accounts and answer questions or escalate the issue to the appropriate person. Provide customer service support to resolve questions or concerns.
- Enter and verify biographical and gift data into the database manually and via import tools. Ensure documentation is complete and accurate. Create and update constituent records and participate in data clean-up projects.
- Responsible for receiving, verifying, and logging donations received through the mail and delivered by individuals and departments. Responsible for charging credit cards through our PCI systems. Create electronic files for gifts, pledges, agreements, and other development documentation and attach to donor database. Follow cash handling procedures and secure funds appropriately when donations are received. Issue cash receipts to departments as they drop off donations.
- Duplicate resolution in the constituent database. Perform research utilizing various search tools for the purpose of correcting or adding to existing data.
- Prepare, proof, and send out receipts, pledge acknowledgements, and pledge reminders for donors.
- Responsible for importing and recording online transactions and processing gift entry for payroll.
- Create queries and exports for requested donor reports and financial data. Review daily gift audit dashboard and exports for accuracy of data entry. Verify benefits and memberships have been correctly applied for receipting and end of year statements.
