Job Description
The Coordinator for Conference Housing Services supports revenue operations and organizes guest accommodations on behalf of the Department of Housing and Residential Life. This role will expand the client base, manage summer housing operations, oversee daily processes, coordinate check-ins and check-outs, and liaise between campus departments and clients to ensure successful events. The Coordinator develops and implements sales and recruitment strategies to increase summer revenue beyond $4 million, manages client invoicing and retention, and recruits and supervises student staff. Additionally, the role supports transitional housing during winter and intersessions. This position reports to the Program Manager of Conference Housing Services within the Housing Administrative Services unit.
Job Duties
Sales:
- Identify and cultivate new business opportunities to maximize revenue.
- Develop and implement strategic marketing and promotional plans.
- Communicate effectively with customers regarding inquiries and reservations.
- Provide engaging tours of our facilities and be knowledgeable, answering all client questions.
- Manage the reservation process and staffing for summer guest housing, ensuring a seamless and efficient experience for all guests.
- Follow up with clients post-service to ensure satisfaction and gather feedback.
- Support university break housing and transitional housing operations from move-in to move-out.
Administrative:
- Operate daily with StarRez, managing and monitoring on-going processes, tracking logs and spreadsheets, and reconciling data.
- Schedule and use of guest rooms, meeting spaces, and other housing facilities for 40 to 60 summer programs, including campus New Student Orientation and academic year groups.
- Oversee all aspects of billing, including invoicing and receiving payment.
- Collaborate with campus service providers on the event details as they evolve and are finalized according to established communication protocols.
- Ensure timely processing of refunds and financial transactions.
- Assist Housing Administrative Services with billing and audits during busy times.
- Assist with recruiting, hiring, training and supervision of the summer conference assistants.
Departmental Responsibilities :
- Ensure excellent service delivery for clients and the conference housing team.
- Represent Housing & Residential Life on university committees and initiatives.
- Perform other duties as assigned to support departmental goals.
