The Project Administrator will directly responsible for assisting the Administration team by facilitating and monitoring all screening and vendor requirements; reading and reviewing customer contracts for accuracy, and the ongoing monitoring of processes necessary to mitigate operational and compliance risk. The Project Administrator also has responsibility for. As the Project Administrator you will report directly to the Director of Projects and assist with coordinating special projects and events for the management team as requested.
Essential Duties and Responsibilities :

- Understand Total Fire Protection’s strategy, business, and growth initiatives.
- Coordinate and administer all contracts and subcontracts in accordance to the terms and conditions of Company and customer requirements.
- Accountable for obtaining appropriate signatures and authorizations from senior management as directed.
- Compile and execute comprehensive responses to customers to recertify and prequalify by completing questionnaires to respond to vendor requirements.
- Obtain and provide insurance documentation to customers and request insurance verification from subcontractors.
- Follow standard onboarding procedures from customers.
- Adherence to policy and procedures for all customer related inquires.
- After Customer approval of proposals, coordinate the necessary field work, including but not limited to the scheduling, confirmation, and verification of work completion, consistent with the corresponding proposal(s), per Customer and Company expectations.
- Manage all tasks associated with the scheduling, dispatching, confirming, and coordinating field work, which includes confirming and coordinating the services directly with the Company’s Customers.
- Assist the Projects team by following-up with all Company sub-contractors and outsourced vendor community to ensure proposed services are properly scheduled, confirmed, and executed consistent with Company and Customer expectations.
- Administer all post award bid activities.
- Appropriately prioritize follow-up actions for all contracts, bids, and insurances.
- General office Administrative Management in the department.
- Other responsibilities, as assigned by Projects Operations Manager and / or Director.
