WHAT WE ARE LOOKING FOR: Operations Coordinator
JOB PURPOSE
The primary purpose of this role is to support the Operations Manager in the effective organization, coordination, and execution of A21’s Field Office operations in the Charlotte area and surrounding regions. This includes overseeing operational functions at the Freedom Center, managing facility upkeep, and ensuring accurate reporting and budget reconciliation. The position plays a key role in supporting the Reach, Recover, and Restore (3R) programs by providing administrative support, responding to crises, and assisting with volunteer management. Additionally, the role involves fostering local partnerships, hosting donor and partner visits, and representing A21 at community and awareness events. This position requires an individual who can build systems, work collaboratively with diverse teams, and maintain strong relationships with external partners, all while upholding A21’s core values of ethics, confidentiality, survivor-centred care, and diversity.
MAIN RESPONSIBILITIES/ KEY DUTIES
Field Office Operations, Administrative Projects, and Facility Management
- Collaborate with the Operations Manager to foster a positive staff culture by leading by example, facilitating team meetings, organizing meaningful events, celebrating staff achievements, and conducting regular check-ins on staff culture and well-being.
- Ensure incoming survivors at the Freedom Center feel welcomed, and manage incoming calls as needed.
- Develop and implement best practices and processes for operational facilities within the Freedom Center.
- Coordinate and maintain relationships with third-party vendors for utilities, bills, general facility and vehicle maintenance.
- Oversee the cleanliness, upkeep, and overall environment of the office facility.
- Ensure accurate reporting and reconciliation of the North Carolina operational budgets.
- Outwork global and office-specific programs and policies related to financial bookkeeping, volunteer programs, project requests, local events, and day-to-day operations.
- Track and report operational finances in accordance with the monthly budget and receipting processes, and submit reports to the Operations Manager.
- Collaborate with the Operations Manager and 3R team to create budgets for various expenditures, including items for survivors (e.g., developing holiday bundles and milestone gifts).
Partner and Local Event Support
- Host guests (partner organizations, donors, etc.) visiting the Charlotte facility, including scheduling guests with consideration for survivor appointments, creating itineraries, and planning staff outings. Serve as the primary point of contact to facilitate communication between guests and staff, ensuring all parties are informed and any changes to the itinerary are promptly communicated.
- Assist with partner support opportunities, such as hosting donor visits, facility tours, awareness events, and representing A21 at coalition/task force meetings.
- Collaborate with the Operations Manager to build and maintain local partnerships with churches, nonprofits, service providers, and law enforcement. This could include sending holiday cards, organizing events, and creating regular communication materials as directed by the Operations Manager.
- Document all contacts and relationships, including saving business cards and taking notes during meetings and calls.
- Represent A21 at Taskforce/Coalition meetings, and provide support at A21 awareness events.
Overarching Support with the Reach, Recover and Restore Programs
- Provide administrative support for the overall operations of the Reach, Recover, and Restore programs. This includes coordinating materials for caseworkers, assisting with oversight, maintaining and updating resource lists, and regularly checking in on partner intake requirements.
- Support the 3R team by accompanying staff during meetings, law enforcement identification operations, court hearings, training sessions, and any other activities as directed by the Operations Manager.
- Respond to crises as directed by the Operations Manager, which may include, but is not limited to, transporting a new survivor, traveling to other cities or towns to assist survivors, or responding to medical or psychological emergencies.
- Stay up to date on all relevant training to provide logistical backstopping support for direct care staff. Assist with other 3R support and management duties as assigned.
Managing the Volunteer Program
- In collaboration with the Global Support Office, assist with the intake and management of volunteers. This includes recruiting, processing applications, conducting background checks and reference verifications, interviewing candidates, facilitating onboarding, and ensuring adherence to organizational policies, confidentiality standards, and survivor-centered care principles.
- Train operational volunteers and equip them with the necessary tools and information to complete tasks and projects effectively.
- Maintain an ongoing list of volunteer projects, ensuring they are completed on time. Supervise volunteers' work to ensure deadlines are met and that content is accurate and up-to-date.
- Utilize the Trello project management system to organize volunteer tasks and train direct care staff on how to submit project requests.

DESIRABLE:
