What We’re Looking For :
Santé is seeking a Full Time Office Manager (onsite) to manage day to day operations in our Silver Spring , MD corporate office. The Office Manager is responsible for overseeing the daily operations of the corporate office, ensuring a well-organized, efficient, and safe environment. This role involves managing administrative functions, coordinating office services, and supporting the executive team. The Office Manager will play a critical role in maintaining office efficiency, managing vendor relations, overseeing office budgets, and ensuring compliance with health and safety regulations. This position is a key point of contact for both internal staff and external visitors, fostering a positive and professional work environment.
What You’ll Do :
- Guest Engagement : Greet guests and visitors, manage walk-ins, and provide accurate information about the organization's services, policies, and procedures.
- Executive Office Management : Maintain a clean, organized, and efficient executive space, ensuring that the environment is conducive to productivity and professionalism.
- Corporate Document Management : Handle, organize, and manage corporate documents, ensuring confidentiality and easy accessibility as needed.
- Membership Registrations : Maintain and renew all annual membership registrations.
- Travel Arrangements : Make flight and other travel arrangements for the CEO, ensuring all travel plans are well-coordinated and executed.
- Health & Safety : Serve as the Health & Safety Officer for the corporate office, including maintaining emergency protocols, conducting drills, and ensuring all safety postings are current.
- Vendor Management : Maintain a comprehensive list of all vendors, ensuring the organization has the necessary resources and services at competitive rates.
- Marketing Material Coordination : Coordinate and order marketing materials for all departments, ensuring all materials are up-to-date and available.
- Oversee Office Operations : Ensure the smooth functioning of the office on a day-to-day basis, managing resources, and optimizing workflows.
- Budget and Expense Management : Develop and manage the office budget, monitor expenditures, and identify areas for cost savings.
- Facilities Oversight : Coordinate office maintenance, repairs, and renovations, and manage relationships with building management and external service providers.
- Team Coordination : Facilitate inter-departmental communication, support team-building activities, and assist in organizing company events.
- Scheduling : Manage the CEO's schedule and coordinate office, conference room, and event scheduling.
- Office Supplies : Maintain and order supplies for the corporate office to always ensure adequate inventory.
- Building Liaison : Act as a liaison with building management to resolve issues and maintain a professional and secure office environment.
- Procurement : Handle orders for office furniture, equipment, and other supplies as requested by leadership.
- Mail and Communication : Oversee incoming and outgoing mail, e-fax, and other communication channels, ensuring timely and accurate delivery.
- Keys and Access Management : Maintain office keys and access codes, ensuring security and proper authorization.
- Administrative Support : Assist with administrative tasks such as data entry, filing, photocopying, and document organization.
- Client and Staff Logistics : Arrange accommodation and transportation for clients and staff members as needed.
- Emergency Response : Be prepared to handle special requests or unexpected situations, including emergencies or security issues, and follow appropriate protocols.
- Information Management : Provide general information to visitors and callers, demonstrating a thorough knowledge of the organization’s services, policies, and procedures.
- Additional Duties : Perform other duties as assigned to support the overall functionality and success of the executive office and the organization.
