Essential Job Functions
- Prepare and maintain accurate transportation documentation
- Keep organized files and records of data input and updates for easy retrieval.
- Maintain accurate records and documentation related to transportation compliance activities
- Coordinate schedules for transportation routes, ensuring efficient use of resources and timely service
- Serve as the primary point of contact for drivers, clients, and caregivers regarding transportation inquiries and updates
- Input and maintain transportation data in relevant software systems, ensuring accuracy and compliance with company standards. Handle sensitive and confidential information with discretion and maintain data security
- Assist in ensuring that all transportation activities comply with local, state, and federal regulations
- Monitor and manage inventory levels of transportation supplies and materials, placing orders as necessary
- Address and resolve administrative issues related to transportation operations promptly
- Provide backup support for the front desk
- Ensure all vehicles have the necessary credentials and documentation
- Assist the PT Transportation Drivers with the transportation of the fleet.
- Strong organizational abilities and experience in multitasking
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively in what can be, at times, a fast-paced environment
- Detailed-oriented with strong problem-solving skills
- Ability to work in a fast-paced environment and handle stressful situations calmly and efficiently.
- Flexibility with work hours may require evening, weekend, or on-call availability.
- A high school diploma or equivalent
- Previous experience in an administrative role, preferably within the transportation industry
- An associate or bachelor’s degree in logistics, business administration, or a related field preferred
- A valid driver's license and clean driving record
- Able to lift up to 25 pounds
- Able to sit at a desk for prolonged periods of time
- Able to operate a motor vehicle for prolonged periods of time
- Standard office environment with occasional travel to move vehicles
