The Asia Group is looking for a highly motivated Executive Assistant to play a critical role in supporting day-to-day operations for a busy C-suite executive, managing a variety of high-priority tasks across multiple teams and time zones. The ideal candidate will be an expert at calendar management, international travel coordination, briefing material preparation, and maintaining effective communication with key internal and external stakeholders. This role requires strong organizational skills, impeccable attention to detail, scheduling across multiple time zones, capable of handling confidential information with discretion, and the ability to juggle multiple projects in a fast-paced environment. The ideal candidate is detail-oriented, resourceful, and adept at balancing competing priorities with professionalism and discretion.
Key Responsibilities :
- Manage scheduling, meeting setup, and calendar logistics, ensuring thorough preparation and follow-up and deconflicting around external commitments.
- Coordinate travel arrangements, including booking transportation and lodging, securing necessary documentation for international travel, and providing pre-travel briefings through collaboration with teams to gather briefing materials, and work with clients to schedule meetings as needed.
- Proofread and edit public-facing documents to ensure accuracy and professionalism.
- Plan and execute event logistics, liaising with vendors and internal teams to ensure success.
- Serve as a point of contact for internal and external stakeholders, facilitating communication and resolving issues proactively.
- Attend weekly team syncs, serving as proxy for the executive regarding scheduling and meeting preparation needs.
- Foster and maintain strong partnerships with key team leads to stay informed about priorities and keep the executive up to date.
- Demonstrate confidence in connecting with dynamic and assertive personalities.
- Act as the main POC for external business-related Board affiliations and committees.
- Reconcile expenses on a monthly basis.
- Handle sensitive information with the utmost confidentiality and discretion.
- Demonstrate flexibility and adaptability to changing circumstances.
- Perform additional duties and projects as assigned.
Required Experience and Qualifications :
Candidates must be eligible to work in the United States. Employees will work in a full-time, in-person environment, with benefits allowing flexibility on an as-needed basis. TAG provides competitive health benefits and generous paid time off, with regular training opportunities available to its employees. For this role, TAG offers a salary of $90,000-$125,000 per year, based on experience.
