Key Responsibilities
Executive Support:
- Primary point of contact for the SVP’s calendar, ensuring seamless scheduling of meetings, appointments and deadlines.
- Prepare meeting agendas, confirm attendance, take minutes and capture deliverables/action items, and put everything in place to ensure a smooth meeting.
- Schedule and organize travel.
- Timely expense reconciliation (tracking, receipt collection and submission).
- Collaborate with executive support colleagues across divisions to meet organizational needs.
- Process invoices, from adding new vendors to the system to ensuring payments are completed timely.
- Manage and update department time-off schedules in relevant systems.
- Ensure our global team has what they need to get their work done.
- Serve as the initial point of contact for employee inquiries and manage the general HR inbox.
- Research, troubleshoot and resolve issues related to employee inquiries on policies and procedures; escalating complex issues as needed.
- Schedule and organize priority internal and external meetings, including union meetings and legal counsel.
- Assist with the recruiting and hiring process; may include leading various new hire sessions and other related activities.
- Prepare presentations and documents.
- Support team leadership in planning events, trainings and initiatives.
- Help maintain and improve processes for efficiency.
- Remove barriers so that the team can focus on high-impact responsibilities.
- Work closely with the members of the team to support the implementation of people initiatives.
- Contribute ideas to enhance workplace culture and improve internal communication channels.
- Support all aspects of the employee lifecycle.
- Follow-through with initiative and desire to learn and contribute to the team’s success.
- Driven by mission and understands the importance of independent journalism.
- Minimum of three years of experience working in a fast-paced human resources or people department with at least one year supporting a senior executive.
- Excellent organizational and interpersonal skills; the ability to maintain confidentiality and handle nuanced conversations is essential.
- Accuracy and attention to detail is required for success in this role.
- Critical and creative thinker; ability to identify new and innovative ways to improve the way we do things is welcome.
- A degree in Human Resources, Business Administration or a related field is preferred.
- Microsoft Office Suite (Outlook, SharePoint, Word, Excel, PowerPoint, etc.).
- Strong command of PowerPoint or other slide deck building skills, including the ability to create engaging and professional presentations.
- Familiarity with HRIS systems is a bonus.
- Comfortable learning relevant technologies and software applications.
- Experience using AI to create efficiencies is a plus.
