Our client is seeking a highly organized, self-motivated, and detail-oriented Project Administrator to join our growing team in Lake Park, Palm Beach. This role is ideal for someone with At least 2 year of experience in Administrative experience in construction, looking to support a single Project Manager on a variety of exciting projects.
The Project Administrator will focus on handling crucial project documentation, assisting with submittals, RFIs, change orders, payment applications, and more. Our client offers a competitive salary, excellent benefits, and a supportive work environment.
Responsibilities
- Assist the Project Managers and Superintendents on all aspects of document management for projects from start to finish.
- Assist with preparation and coordination of subcontracts, purchase orders, change orders, and all other subcontractor correspondence.
- Assist in maintaining accurate drawing logs and tracking all revisions.
- Assume responsibility for coordinating and tracking distribution and storage of all project engineering documents, including drawing sets, specifications, sketches, ASIs, permits, etc.
- Create, distribute, and file accurate meeting minutes for all project management meetings
- Obtain contractually required warranties from subcontractors and vendors
- Archive all project documents according to document storage procedures
- Organize, manage, and track the entire submittal/shop drawing review process to ensure all required submittals are reviewed and approved in a timely manner
- Collaborate with the field supervision team and the Project Manager to create clear & concise RFIs that is understood and answered by the Project Design Team, with minimal effort
- Maintain current and accurate RFI log and file according to standard RFI procedures
- Assist in monthly preparation of Applications for Payment (AIA Billing).
Qualifications
- General knowledge of construction principles/practices plus related work experience required
- Strong work ethic and desire to work in a fast paced, team environment
- Excellent attention to detail
- Excellent written and oral communication skills
- Working proficiency with Microsoft Office Suites (Outlook, Word, and Excel)
- Knowledge of Sage and/or Procore a plus
- Administrative experience with a general contractor or an architecture/engineering firm
- 2 years of experience
