The Advancement Services Manager has primary responsibility for organizing and managing functions in the Advancement Office that are essential to the smooth administration of fundraising efforts. This position will provide necessary on-going support to the entire department with particular emphasis on gift and fund management and donor relations. The Advancement Services Manager will manage essential functions such as gift processing, acknowledgement letters, reports and regular maintenance of constituent records. Organization, proofreading skills, accuracy and attention to detail are absolute. Must demonstrate experience managing confidential and sensitive data relating to the Board of Trustees, Head of School and Directors.

Essential Job Functions
Gift Processing:
- Process all donations, pledges and planned gifts in the Raiser's Edge database in a timely manner with keen attention to detail for accuracy, coding all entries according to business practices already in place;
- Manage pledge reminder process to ensure pledge fulfillment;
- Produce gift acknowledgement and pledge reminder letters
- Process matching gift requests, manage payroll deduction donations and other recurring gifts;
- Collaborate closely with the Business Office to set up new funds and balance gift batches;
- Manage monthly cash reconciliation and forecasting of pledge payments and previous fiscal year receivables, working closely with Business Office;
- Manage stewardship for all tribute gifts;
- Assist with producing endowment and foundation reports;
- Coordinate condolence, honor/recognition and birthday outreach for department;
- Maintain record in database of donor recognition signs, benches and plaques, and coordinate such purchase orders.
- Work closely with the Director of Advancement Operations to follow procedures for record coding and processes;
- Accurate data entry, including, but not limited to new constituent record creation, record updates, event registrations and other data coding as needed in the Raiser's Edge Database.
- Merge and print name tags for events;
- Integrate data work with platforms such as Blackbaud CORE, Constant Contact, Give Campus, Venmo, Square and other service providers;
- Prepare monthly financial and statistical reports;
- Document standard operating procedures for new business processes and revise existing procedures as needed;
- Perform routine audits to ensure data integrity.

- Manage department supply orders;
- Manage department spending receipts - track, code and reconcile all department credit card statements;
- Coordinate, distribute and reconcile individual budgets with coordinating Advancement staff;
- Manage activation and renewal process for department-specific professional memberships and associations;
- Other duties as assigned.
- Bachelor's degree required;
- Strong passion and commitment to the Baldwin School mission;
- Ability to prioritize work and perform multiple tasks simultaneously while adhering to deadlines;
- Organized self-starter with the ability to work independently as well as collaboratively with a team;
- Excellent interpersonal skills, a commitment to collaboration within a diverse community, positive attitude and customer-service mindset;
- Proficient in Blackbaud Raiser's Edge/NXT database, Microsoft Office Suite and Google Suite;
- Attendance at evening and/or weekend events;
- Ability to handle sensitive and highly confidential information with discretion;
