Job Title: Office Assistant

Position Overview:
We are seeking a highly organized and detail-oriented Office Assistant to support our daily operations. In this role, you will be responsible for assisting with inventory input, coordinating marketing efforts, and providing basic accounting support. The ideal candidate will have strong communication skills, exceptional organizational abilities, and a proactive mindset, with a desire to grow within our organization.

Key Responsibilities

  • Inventory Management
  • Input and maintain accurate inventory records in company databases.
  • Track incoming and outgoing products or materials.
  • Coordinate with relevant departments to reconcile inventory discrepancies.
  • Marketing Coordination
  • Assist in the creation and distribution of marketing materials (e.g., flyers, social media posts, email campaigns).
  • Coordinate with vendors and partners to gather promotional items or content.
  • Help schedule and organize marketing events, meetings, and presentations.
  • Accounting Support
  • Prepare and process basic accounting transactions, such as invoices and expense reports.
  • Assist in tracking payments and reconciling accounts.
  • Maintain organized records of financial documents.
  • Administrative Tasks
  • Answer phone calls, emails, and greet visitors in a professional manner.
  • Manage office supplies, ensuring stock levels are maintained.
  • Maintain electronic and physical filing systems.
  • Perform other administrative duties as assigned by management.

Qualifications

  • Education & Experience
  • High school diploma or equivalent; additional education or certifications in business, accounting, or a related field is a plus.
  • Prior experience in an office setting, particularly in inventory management, marketing coordination, or accounting support, is preferred.
  • Skills & Competencies
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
  • Familiarity with accounting software (e.g., QuickBooks) is a plus.
  • Strong organizational and multitasking abilities, with an emphasis on excellent organization skills to maintain efficiency and order in all operations.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail.

Working Conditions

  • Schedule: Part-time, 24 hours per week, Wednesday through Friday (exact hours to be determined).
  • Work Environment: Office setting; requires prolonged periods of sitting at a desk and using a computer.
  • Compensation & Benefits: Competitive hourly wage (commensurate with experience), with potential benefits such as professional development opportunities.

Job Type: Part-time

Pay: $9.00 - $14.00 per hour

Expected hours: 24 per week
