Position: Receptionist / Office Assistant
Your duties will include following up with and serving our clients until they meet the next step of wanting to look at homes with one of our Realtor team members. As our Receptionist, you'll be the friendly face and first point of contact for clients, visitors, and colleagues. Your exceptional interpersonal skills will shine as you warmly greet guests, answer calls, and provide top-notch customer service. You'll also assist with various administrative and transaction/listing coordination tasks, ensuring the smooth functioning of our office and client experience.
Your Role:
- Welcome clients and visitors who walk into the office with a warm and professional demeanor, making them feel valued and comfortable.
- Answer incoming calls and provide accurate information or route calls to the appropriate person.
- Conduct thorough follow-up reach outs to ensure customer satisfaction and foster long-term loyalty.
- Assist in maintaining a tidy and welcoming office in collaboration with the team.
- Coordinate appointments and meetings, including scheduling, sending reminders, and preparing necessary documentation.
- Handle incoming and outgoing mail, packages, and deliveries efficiently.
- Assist with administrative tasks such as data entry, filing, and photocopying.
- Collaborate with our team to maximize productivity, ensure smooth office operations and achieve team goals.
- Assist our transaction coordinator with contracts and software - electronically filing paperwork, uploading contracts for compliance, chasing down missing signatures, weekly client updates, inputting listings into the local MLS, and checking in with home buyer and sellers to keep them informed throughout the entire transaction process
