What are the responsibilities and job description for the Program Coordinator position at The Birthday Party Project?
In our thirteenth year of celebrating birthdays, we are seeking an organized and eager Program Coordinator to support our team. Reporting to the Chief Program Officer, this role will support the day-to-day work of the TBPP Team at headquarters (otherwise known as Party HQ!).

Some of the Responsibilities of the Program Coordinator include:
- Provide effective and engaging communication to our Birthday Enthusiasts (volunteers) and donors across all platforms: phone, email, and face-to-face at party headquarters, special events, and birthday parties
- Oversee Birthday Enthusiasts (volunteers) at Party HQ
- Cultivate relationships with agency partners and Birthday Enthusiasts
- Support the team in preparing for meetings, tours, parties, and gatherings
- Prepare for monthly parties at 23 agency locations
- Work closely with our agency partners to ensure all birthday information is correct
- Order and collaborate with our cake partners for monthly parties
- Prepare all party shipments with appropriate supplies and restock items
- Ensure all gifts and supplies are delivered nationwide in a timely manner
- Manage all Birthday in a Bag program shipments
- Manage inventory of party and gift wrapping restock
- Maintain an organized overview of gift lists submitted from our agency partners each month
- Ensure gifts arrive to our parties for our birthday kids
- Oversee Birthday Enthusiasts who support our parties by prepping party supplies
- Provide program administrative support
- Oversee and maintaining databases
- Assist the Chief Program Officer with accurate input of monthly party data into the appropriate database
- Manage email correspondence with programs email inboxes
- Maintain accurate record keeping of all volunteers and in-kind donations
- Manage shipping and receiving of donations and party supplies
- Organize and process in-kind donations
- Assemble gifts and prepare for shipment
- Ensure all party supplies are prepared and distributed to our agency partners around the country
- Assist with preparation of Development activations and provide hosting support
- Attend at least two parties each month
- Experience of the Program Coordinator:
- The Program Coordinator must have excellent interpersonal and organizational skills. Acting as a Project Manager, this person should possess a high level of attention to detail and the ability to see projects through to completion. Flexibility will be important in this role, as the demands of the day often shift. Proven ability to shift priorities, address immediate needs, and maintain a swift pace of work is critical to the success of this role.
- Working Environment:
- This is a full-time position at Headquarters supporting a nationally distributed team. This position entails the packing and lifting of heavy boxes, working around 50% of hours within our warehouse facility, and actively engaging in manual labor tasks. Team members will be required to work 2 - 5 nights monthly helping with HQ Birthday Enthusiasts and/or attending parties.
