Position Overview
The Hospital Support Specialist is responsible for enhancing and maintaining the partnership and relationship for all facilities served by The Blood Connection, as well as identifying and developing relationships with hospitals deemed as potential customers. The Hospital Support Specialist will assist with administrative duties, resource sharing, error/complaint investigations and general duties as assigned by the Senior Director of Technical Services. Good customer service and teamwork are required for this position. This position requires skills in working with current hospital clients, potential clients, resource sharing organizations, and other employees of The Blood Connection involved in these functions.
Essential Functions
Organizational Responsibilities:
Understands and supports the quality goals of the company
Adheres to the organization’s Quality Plan and Quality Essential Process Description
Administrative Duties:
Assists the Senior Director of Technical Services in planning, organizing, and assisting with relationship management with hospital partners
Monitors and communicates utilization reports for each hospital and works closely with the hospital to reach utilization efficiency
Maintains relationships by routinely meeting with them at their location
Monitors order fulfillment rates and investigates any issues with order fulfillment
Tracks quality data for all hospitals, looking for any trends which may indicate a need for process improvement
Documents all customer complaints and works with the appropriate department(s) to investigate issues
Provides information to pertinent departments of TBC, related to areas for improvement to increase customer satisfaction
Develops customer surveys to assist in achieving high levels of customer satisfaction
Monitors contracts for hospital customers to assure that they are current and up to date
Develops new sales leads to ultimately drive the strategies of TBC objectives and goals
Actively works to resource share with other facilities as inventory levels indicate
Provides support to Hospital Services departments included but not limited to shipping and receiving products, SOP development, and record review
Maintains a professional relationship with resource sharing organizations/sources to actively market products from TBC
When indicated, works to obtain new customers (as adhoc, partial, etc.) for excess products
Miscellaneous:
Practices good customer service relations with co-workers, customers, and the public
Produces accurate, precise, and legible documentation
Maintains a clean and orderly work area
Other duties as assigned or required
Minimum Qualifications
A 4-year degree in Biology, Laboratory Sciences, or related field
MLT/MLS certification strongly preferred
Work experience in a heavily regulated environment (FDA, AABB, CLIA) strongly preferred
General knowledge of blood banking practices
Valid Driver’s License with no major infractions and dependable transportation
Ability to communicate effectively, tactfully, and courteously to patrons, donors, sponsors, and co-workers
Ability to organize and prioritize workload and meet deadlines
Strong computer skills including intermediate skill level with Microsoft Word, Excel, and PowerPoint
Ability to work with all levels and in a diverse work environment
Ability to establish and maintain effective working relationships with staff, management, and peers
Ability to travel up to 50% (some overnight required)
