Dispensary Assistant Manager

Under the supervision of the General Manager, the Assistant Manager will assist with managing all day-to-day operations of the dispensary in accordance with the State of Massachusetts and standards set by TBG. The Assistant Manager provides support and oversight to all Budtenders, operations staff, and other staff members, which includes: training, ensuring all policies and procedures are enforced, and keeping updated with industry news and product information. The Assistant Manager will work closely with the Dispensary Manager to ensure that any incidents are properly recorded, and all compliance procedures are followed to the letter at all times. The Assistant Manager, in collaboration with the Dispensary Manager, will also be responsible for maintaining sufficient inventory, ensuring all systems are operating properly, and ensuring that all aspects of operations, product storage, and product sourcing are in compliance with rules and regulations. In addition, the Assistant Manager will perform the following duties among others:

  • Assist with managing dispensary staff, schedules, inventory, and customer service.
  • Serve as a role model and resource for dispensary staff concerning products and services, policies and procedures, industry news and changes in regulations;
  • Develop, document and implement practices, policies, and strategies that support a performance and results-driven culture.
  • Responds to all agent questions, concerns or suggestions and escalates to the manager when necessary to resolve issues.
  • Coordinate with vendors and Dispensary Manager to program product highlights and promotions.
  • Ensure that the directions of the Manager and any tasks delegated to Budtenders, and other staff are carried out successfully, efficiently, and in keeping with rules, regulations, and TBG standards.
  • Assist Dispensary Manager in establishing, reviewing, maintaining, and enforcing all departmental SOPs and assure that any changes are communicated to employees and the most recent SOP versions are available 24/7 for planned and unplanned audits by regulators and organization management.
  • Ensure meticulous, accurate records are kept at all times in compliance with regulations and using the required tools like METRC & LeafLogix.
  • Coordinates with the Manager to ensure accurate information is communicated to dispensary staff.
  • Ensure all floor displays are kept clean and orderly and that promotional calendar is followed.
  • Maintain back room organization of product and product supplies.
  • Responsible for executing all product movements from vault to sales floor, back to vault; both physically and in METRC & LeafLogix.
  • Coordinate all product deliveries with vendors and transport companies, and ensure the team is aware and on hand to facilitate safe delivery.
  • Ensuring there is zero inventory shrinkage or misconduct by retail associates and other staff (Budtenders).
  • Uses the Point of Sale system to ensure all relevant information is recorded and tracked accurately, you are a main point of contact for Budtenders when they need help with the POS system or transactions..
  • Assisting with managing and motivating a team to improve and ensure efficiency, and continuous improvement.
  • Respond and investigate security situations and alarm calls; clearly document the incident and details surrounding the incident in a written report for the Manager.
  • Ensuring standards of quality, customer service and health and safety are exceeded at every turn.
  • Respond to customer questions, complaints and comments both in person and online, escalating to manager when necessary.
  • Work as a player coach shoulder to shoulder with the other Budtenders providing spot training and assisting with issues as they arise.
  • Tour the sales floor regularly, talking to employees and customers, and identifying/resolving urgent issues, while looking for ways to improve operations and the customer experience.
  • Help to maintain staff training protocols.
  • Assist Manager with opening and closing the dispensary.
  • Assist with inventory control system and perform weekly counts of all marijuana and marijuana products in the facility;

Skills & Qualifications:

  • Must successfully complete a comprehensive background record check.
  • Must be at least 21 years of age.
  • College degree preferred but not required.
  • 2 years’ experience in retail management and inventory planning or a related field.
  • Cannabis knowledge and experience is a plus but not required.
  • Equivalent combinations of education and experience may be considered, including internal experience (year for year management experience can be substituted for required degree).
  • Ability to obtain any other required licenses.
  • Strong leadership skills and ability to lead by example while working side by side with subordinates.
  • Highly skilled at selling products in a retail environment
  • Ability to train others, and carry out lesson plans and training programs.
  • Friendly and outgoing, with strong customer service skills.
  • Self-motivated and results-driven.
  • Not afraid to engage with new people.
  • Proven ability to analyze data and draw appropriate conclusions to inform policies and procedures.
  • Must be and remain compliant with local, state, and federal laws, statutes, and regulations; particularly those related to working in the cannabis industry.
  • Must function independently, have flexibility, and personal integrity.
  • Excellent communication, customer service, and organizational skills.
  • Ability to work both independently and in a team environment.
  • Ability to respectfully and politely interact with customers and team members.
  • Proficient in the use of personal computers to perform daily work and familiar with the Microsoft Office suite of programs.
  • Excellent project management skills.

Physical Requirements:

  • Must be able to push, pull, move, and/or lift a minimum of 50 lbs. to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet, with or without mechanical assistance.
  • Must be able to work seated/standing as appropriate at workstations for extended periods of time, maintain body equilibrium while climbing ladders, stairways, stopping, kneeling, crouching, and reaching, and use hands/fingers to hold, grasp, turn, pick, pinch frequently/constantly to complete tasks.
  • Must have visual acuity with/without job aids to perform activities such as; reading, viewing a computer terminal, visual inspection involving small parts/details. Clarity of vision at 20 ft or more in day and night/dark conditions.
  • Must be able to speak and communicate verbally at conversation levels with co-workers, vendors, etc. (Moderate noise).
