Parts Coordinator Job Description
The Parts Coordinator plays a crucial role in ensuring a successful customer experience by managing the ordering, receiving, storing, dispatching, and returning of parts for each repair order.
Key Responsibilities:
- Implement the WOW plan consistently.
- Communicate customer requests to relevant team members.
- Work with vendors to order and receive parts as indicated on repair orders, verifying quality, correctness, and quantity.
- Distribute parts timely in accordance with the production schedule.
- Enter all parts invoices into the Management Information System (MIS).
- Label and track parts by R.O.#, store them with vehicles, and communicate Parts Price Changes to team members.
- Order supplemental parts in MIS, monitor performance, and ensure daily reconciliation of vendor invoice history reports.
- Post and file invoices and credit memos in a timely manner.
Education and/or Experience Required:
- High School Diploma or equivalent.
- 1-3 years of experience working with automotive parts, preferably auto body parts.
- Customer service-oriented and strong organizational skills to manage pressure and conflicting demands.
- I-Car Registered (working towards Gold Class certification).
Required Skills/Abilities:
- Effective communication verbally and in writing.
- Strong attention to detail and high accuracy.
- Ability to manage a fast-paced environment, demonstrating multi-tasking under pressure.
- Working knowledge of vehicle repairs practices.
- Management Information System: Summit, Repair Centre.
- Working Knowledge of: Mitchell, Audatex.
- Parts sourcing: Car-part, Progi, APU, LKQ B2B.
- Solid problem-solving abilities.
- Above average computer proficiency.
- Above average organizational skills.
- Ability to work well with others and achieve common goals.
- Other duties as assigned.
Physical Requirements:
- Frequently required to bend, crouch, reach, handle tools.
- Lift materials exceeding 50 lbs.
