POSITION SUMMARY
To provide superior quality, competitive value, and outstanding service by assuming responsibility for the overall patient experience as it relates to the performance and effectiveness of the service lines throughout Brevard Health Alliance. This position is responsible for overall supervision of resources available to the service line(s) they are responsible for within the clinic, which may include one or more of the following: family medicine, pediatrics, dental, behavioral health, or OBGYN.
GENERAL EDUCATION REQUIREMENTS
Bachelor’s degree in Business Administration and/or Healthcare preferred, with 5 years’ experience in a medical office or community health center.
ADDITIONAL QUALIFICATIONS
- Customer service and/or medical front office experience
- Supervisory experience. Ability to assume leadership and inspire others
- Good interpersonal, communication and organizational skills
- Typing requirement of 40 words per minute
- Ability to multi-task
- Ability to read and write at high school level
- Ability to use or operate computer, copy machine, and fax machine
- Ability to maintain confidentiality at all times and follow Brevard Health Alliance’s confidentiality guidelines
- Ability to use Microsoft applications.
- Ability to compute basic financial transactions
- Ability to speak and understand at least the English language to effectively communicate with our patient population
- Knowledge of medical terminology is preferred
- Ability to work well in a team environment, remains motivated, is self- directed, and demonstrates initiative
PRIMARY ACCOUNTABILITIES
- Manages day-to-day operations of the Service Line(s) of responsibility, working in partnership with the Site Managers, Chief Medical Officer, Director of Business Operations and Director of Clinical Operations to enhance operational efficiencies and overall performance, focusing on the overall patient experience, quality of care, fiscal responsibility, and overall productivity & effectiveness of the service line(s)
- Champions integration initiatives throughout the organization, to build relationships and efficient processes surrounding how our service lines (family, pediatrics, behavioral health, dental, OB) work with one another, and how to help the patient navigate and receive appropriate care from these departments
- Supervises and coordinates the work of members associated with the Service Line Team, and provider support team(s), providing support when needed
- Partners with clinic nurse and provider team to ensure all mid office needs are met, and the patient experience is being coordinated appropriately
- Will serve as the key Subject Matter Expert for the service line, as it relates to primary care operations including, patient flow, Patient Centered Medical Home requirements, Health Resources & Services Administration (HRSA), and UDS
- Analyzes financial data and makes recommendations to Executive team on necessary changes, expenditures, etc. Works with Director of Quality on value-based care initiatives, coordinating clinic operations in compliance with all managed care contracts
- Reviews and evaluates business procedures including operating expenses, clinical indicators, reporting and production activities using data and executes plans for improvement.
- Actively monitors clinic operations and patient flow to evaluate effectiveness; Develops audit processes to ensure proper adherence to organization’s workflows and reporting requirements; Establishes and tracks key performance indicators by service line; Implements short and long-term work plans to address areas of needed improvement
- Demonstrates the ability to manage complex patients and associates
- Creates functional strategies and specific objectives for the function and develops budgets/policies/procedures to support the functional infrastructure.
- Act as mentor and coach to enable problem solving and will develop smooth functioning teams with a focus on productivity, quality and patient satisfaction.
- Monitors the insurance spreadsheets, and aids the business office in correcting all errors
- Takes action to ensure staff at all levels have adequate tools and knowledge, to obtain and measure progress toward goals, utilizing QI methodology, frequent in person communication, visual management tools, and process mapping.
- Conduct regular “rounds” at medical, behavioral health, dental, OBGYN, and mobile programs and sites to observe, mentor and coach these front line teams in a manner that creates a culture of accountability and fosters continuous improvement and integration of services.
- Assists with adherence to the BHA Compliance Calendar, and works with Risk Management and BHA Site Managers to support as needed
- Perform other related duties as assigned
- Takes ownership and represents Brevard Health Alliance’s mission and organizational goals established by the executive committee. These include, but are not limited to: Productivity, Quality, Patient Satisfaction, and Employee Retention. It is the duty of each BHA employee to incorporate these goals into all daily work routines and strive to achieve and surpass all goals by working as a team. The mission and goals of BHA will be incorporated into each associate’s Key Performance Indicators and will be evaluated on a monthly and quarterly basis.
SUPERVISORY RESPONSIBLITIES
- Complete Annual Reviews and submit to Human Resources within 30 days of Associate’s annual anniversary
- Complete 90 Day Reviews and submit to HR within 1 day of Associate review date
- Ensure adherence to Positive Discipline Corrective Action policy with appropriate supporting documentation submitted to HR
- Perform, maintain, and track Key Performance Indicators and report to Director of Business Operations, and Chief Operating Officer
- Perform other related duties as assigned
