CWWCHC is seeking a self-driven highly organized and proactive Executive Assistant to support our Chief Executive Officer.
This role is responsible for a wide range of activities including but not limited to management of calendars, tracking key deliverables, writing Board Minutes, project coordination, and document preparation and review. Other Activities include meeting planning and preparation and office management.
The ideal candidate will be an experienced professional who has a proven track record using business judgement with success and exhibits advance prioritization abilities to complete complex tasks autonomously. Must be a detailed oriented and experienced in planning with the ability to effectively communicate while maintaining flexibility and grace under pressure.
Essential/Primary Responsibilities:
Executive Support
- Position reports to the CEO and COO .
- Manage scheduling for company executive(s)
- Draft, review and send communications on behalf of company executive(s)
- Organize and prepare for meetings, including gathering documents, write Board Minutes and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to the executive
- Prioritize emails and respond when necessary
- Coordinate travel arrangements
- Maintain various records and documents for company executive(s)
- Retrieve, open and distribute mail
- Maintain Office Supplies
Experience & Education:
- Associates Degree Required/Bachelor’s Degree Preferred
- 3 - 5 years of professional experience as an Executive Assistant.
- Excellent written and verbal communication skills
- Time-management skills
- Ability to pay attention to detail
- Organization skills
- Ability to multitask
- Interpersonal skills
Skills & Abilities:
- Strong interpersonal skills and the ability to build relationships with stakeholders, including management team, staff, board members, external partners and contributors;
- Proficiency in Windows, including MS Word, EXCEL and PowerPoint;
- Ability to present information in a succinct and well-written manner;
- Ability to work independently and with professional discretion;
- Knowledge of other languages and customs is an asset; knowledge of Spanish is helpful;
- Excellent management, time-management, and problem-solving skills.
