The Cake Bake Shop is a fast emerging brand that has become a destination for many to celebrate the special occasions in their life. At The Cake Bake Shop our goal is to provide a magical and one of a kind experience to each and every guest, and that all starts with the role of the Office Administrator.
This individual is often the first point of contact for guests as they call and email with questions, requests, plans to visit the shop. It is important that this person be positive and have excellent customer service skills, with great attention to detail, to ensure they are able to give the best experience to guests who call in to our office. The Office Administrator is responsible for assisting guests over the phone and email, preparing pre-orders, special projects, and ensuring follow through on placed orders and requests.
Office Administrator Job Responsibilities :
Supports company operations by maintaining office systems and communication with guests via telephone.
Maintains office services by organizing office operations and procedures, controlling correspondence, and ensuring communication between departments.
Keeps management informed by reviewing and analyzing orders and data, summarizing information, and identifying trends.
Answering or making calls to clients to learn about and address their needs, complaints, or other issues with products or services.
Responding efficiently and accurately to callers, explaining possible solutions, and ensuring that clients feel supported and valued.
Engaging in active listening with callers, confirming or clarifying information and diffusing angry clients, as needed.
Building lasting relationships with clients and administrative team members based on trust and reliability.
Utilizing software, databases, scripts, and tools appropriately.
Making sales or recommendations for products or services that may better suit client needs.
Taking part in training and other learning opportunities to expand knowledge of company and position.
Processing orders
Adhering to all company policies and procedures
The Office Administrator at The Cake Bake Shop has a varied schedule which includes some evenings and weekends. Weekends are a requirement for the role. The phone lines are open from 10am to 9pm daily, and there is always at least one Office Administrator present from 9am to 9pm each day. Scheduling is somewhat flexible within these time frames.
Full-time employees are eligible for medical, dental, and vision insurance, paid time off, and company matched 401(k), after a waiting period.
Education, Experience, and Licensing Requirements :
High school diploma, GED, or equivalent
Previous experience in an office setting a plus
Restaurant industry experience preferred
Proficient with Microsoft Office software and phone systems
Exceptional customer service, active listening, and verbal and written communication skills, professional phone voice.
Understanding of company products, services, and policies.
Proficiency with computers, especially with Point of Sale software, and strong typing skills.
Ability to ask prying questions and diffuse tense situations.
Strong time management and decision making skills.
Adaptability and accountability.
