About the Position
The Executive Coordinator serves as the primary point of contact for internal staff and external stakeholders on matters pertaining to the Chief Executive Officer (CEO) and the Chief of Staff (CoS). This position also serves as a liaison to the leadership team, organizes and coordinates executive outreach and oversees organization-wide projects.
This position relies on experience, leadership, and judgment to plan and accomplish goals. A wide degree of creativity, proactiveness, and latitude is expected. This position is primarily remote; access to a workspace, phone, and internet access is required. Attendance at in-person meetings may be expected.
Responsibilities include :
Managing the CEO’s responsibilities and duties to ensure that time is effectively prioritized, and goals are achieved by :
Tracking commitments, goals, projects, tasks, and deadlines
Ensuring items are effectively delegated, reprioritized, or addressed, navigating conflicting demands and time pressure
Maintaining the CEO’s calendar; ensuring his time is allocated to the highest priorities
Attending select meetings to take notes, capture action items, and ensure follow through
Handling select matters expeditiously, judiciously, and proactively; following-through to successful completion
Anticipating and addressing problems
Represent the CEO and CoS by :
Assisting with meeting coordination and preparation with staff and leadership team, including preparing presentations and materials for internal as well as external meetings
Drafting and editing correspondence that is often sensitive and confidential
Ensuring that all stakeholders receive high-quality, friendly, customer service-oriented interactions with you and on behalf of the CEO, CoS and organization
Ensure meetings are efficient and effective by confirming participant attendance, preparing agendas, securing meeting locations, and supporting travel logistics (whenever applicable)
Contributing to content for social media, websites, newsletters, press releases, and any other external communications
Manage other administrative and logistical responsibilities for the CEO & CoS by :
Assisting with daily administrative duties and completing a broad variety of administrative tasks such as managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
Coordinate with the External Affairs and Development teams to ensure the CEO is prepared for key engagements by identifying and prioritizing meetings with donors and prospects, and supporting the preparation of meeting / presentation materials and decks for these interactions.
Assist with organization-wide projects and initiatives, ensuring timely execution and alignment with strategic priorities.
Assist in the management of the Board of Directors, including preparing materials, coordinating meetings, and ensuring effective communication.
Perform additional responsibilities in support of the organization's vision, mission and goals.
Background and experience expectations :
5 years of administrative assistant experience; at least two (2) years providing executive level administrative and scheduling support
Advanced proficiency in technology, including Microsoft Office and Google Suite, and the ability to learn new programs / software quickly
Proven experience multitasking, organizing and prioritizing work
Proven experience drafting internal and external correspondence
Ability to handle requests and inquiries and respond within a timely manner
Proven organizational and project management skills, with attention to detail and deadlines
Ability to seamlessly manage shifting and multiple priorities in a face-paced work environment
Strong skills in collaboration and teamwork; ability to manage work relationships with a broad range of colleagues, including senior-level staff
Professional, assertive, and friendly demeanor
Ability to handle confidential information and documents with integrity

Other work requirements :
Position may require some travel, as needed, for events, meetings, and in performance of duties (e.g., pick-up / drop-off mailings and deliveries)
Must be able to lift up to 20lbs;
Occasional weekends and evenings required
