Job Purpose:
The Administrative Assistant is responsible for general office duties including phones, mail, and filing. This position requires scheduling clients, maintaining electronic records, and supporting clinic operations.
This position also entails coordinating, implementing, and/or contributing to various projects. These projects may include assistance with client coordination and event preparation. Must be an independent thinker and able to field written and verbal inquiries. The position requires a people person with the ability to work with all community members seeking service with our agency.
Qualifications:
The Administrative Assistant should have the following qualifications and experience:
- High school diploma. Preference is given to those with some higher education.
- Ability to handle multiple tasks, to be self-motivated and decisive.
- Ability to communicate concisely and effectively, both oral and written.
- Ability to maintain confidential information.
- Must be well organized and efficient in the office setting.
- Ability to learn and work with electronic health records and practice management systems.
Job Duties and Responsibilities:
- Demonstrate an acceptable level of commitment to the Core Values and Mission of The Center for Children and Families.
- Complete all necessary training.
- Provide assistance to the Clinical Director as needed and when requested.
- Maintain and update electronic records as per program requirements.
- Answer telephones in a pleasant and professional manner.
- Type correspondence as requested by the Clinical Director, gather information as needed, and prepare special event arrangements as needed.
- Complete work time sheets.
- Participate in performance evaluations of this position as directed by the Clinical Director.
- Assist with scheduling new clients and rescheduling established clients
- Assist reception with check-in of patients
- Sending initial paperwork to new clients one week prior to the session, as well as collection of intake paperwork
- Making calls 24 – 48 hours before new patient appointments for additional reminders, following up on intake paperwork, and answering any questions they may have
- Answering rollover calls from reception
- Handling scanned paperwork and attaching it to appropriate client files
- Completing prior authorizations for prescribers
- Other duties as assigned
